What's the job?
Executive Assistant
This role will report directly to the founder. The ideal candidate is capable of managing a wide variety of job tasks, is proactive, solution-oriented, and capable of handling sensitive information with the highest levels of discretion. This person will anticipate the needs of the principal and take the initiative to solve problems thoughtfully and independently. Specific job duties may include, but are not limited to:
Managing, Organizing, Labeling, and Formatting Digital Files
Create and maintain monthly or quarterly client recap reports, as needed
Create clips of media articles for clients
Contact database maintenance and outreach
Logistics and coordination of meetings/interviews
Email and task management with founder
Research (Preparing founder for meetings, researching awards/certifications)
Fact checking published articles about clients
Coordinate travel logistics, when needed
Managing subscriptions and memberships, negotiating rates and contracts, researching and recommending options
Acting as the liaison for conversations with third parties, ongoing
Requirements
Bachelor's Degree
Excellent organizational, problem solving, and project management skills
Self-motivated team player who acts with agency and anticipates needs
Polished interpersonal and communication skills (written and verbal) with the ability to streamline communications and manage sensitive information with discretion
Attention to efficiency, detail, and accuracy
High level of self awareness, integrity, timeliness, and professionalism
Ability to learn quickly, adapt to new procedures and provide feedback effectively
Flexibility with work hours, as needed
Provides own technology and other supplies to complete job duties while working remotely (computer, phone, internet, office supplies)
Proficient in programs including: Google Suite, Slack, Dropbox, MuckRack, Adobe, Canva
