Job Description:

Join a dynamic team as an Executive Assistant supporting the CEO, where you'll be at the heart of the organization's operations. The CEO is exceptionally busy and requires seamless support to maximize productivity and efficiency.

Salary: $115-125k + bonus

Hours: 8:30 am - 5 pm

Responsibilities:
  • Calendar Mastery: Take ownership of the CEO's calendar, managing appointments, meetings, and travel arrangements with precision and foresight. Anticipate scheduling conflicts and proactively resolve them to ensure optimal time management.
  • Communication Coordination: Serve as the primary point of contact for internal and external communications, exercising discretion and professionalism in all interactions. Draft and edit correspondence, emails, and other communications on behalf of the CEO.
  • Task Prioritization: Assist the CEO in prioritizing tasks and managing competing demands on their time. Act as a gatekeeper, filtering and redirecting requests as necessary to maintain focus on strategic priorities.
  • Meeting Preparation: Prepare agendas, gather materials, and coordinate logistics for meetings attended by the CEO. Take detailed meeting minutes and follow up on action items to ensure timely execution.
  • Information Management: Maintain confidential files and records, ensuring accurate documentation and easy retrieval of information. Organize and manage data in spreadsheets, presentations, and other formats as needed.
  • Project Support: Provide administrative support for special projects and initiatives led by the CEO, coordinating cross-functional teams and tracking progress towards goals. Contribute to project planning, execution, and follow-up activities as required.
  • Problem Solving: Act as a resourceful problem solver, anticipating challenges and proactively finding solutions to overcome them. Exercise sound judgment and discretion in handling sensitive issues and confidential information.

Requirements:
  • Experience: 2-4 years of experience supporting senior executives in a fast-paced and dynamic environment. Experience working directly with CEOs or C-suite executives is preferred.
  • Organizational Skills: Exceptional organizational skills with the ability to prioritize tasks and manage competing demands effectively. Attention to detail and a proactive approach to problem-solving are essential.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with stakeholders at all levels. Demonstrated proficiency in drafting professional correspondence and preparing polished presentations.
  • Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Experience with calendar management tools and online collaboration platforms is a plus.
  • Discretion and Confidentiality: High level of discretion and confidentiality in handling sensitive information and privileged communications. Uphold the highest standards of professionalism and integrity in all interactions.
  • Adaptability: Ability to thrive in a fast-paced and ever-changing environment, demonstrating flexibility and resilience in managing competing priorities and shifting deadlines.
