Job Description:

SUMMARY:


Provides a wide variety of administrative support for the Undergraduate Programs Office including to the Senior Associate Dean, Associate Dean of International Programs, and Assistant Dean of Student Services. Also supports Professional Development staff and building operations. Coordinates and facilitates meetings, program functions, and/or special events, as appropriate.


RESPONSIBILITIES:



Administrative Support for Undergraduate Programs

  • Assist with registration process, enter student overrides in Banner with appropriate approvals from Department chairs, Assistant Dean or Senior Associate Dean.
  • Collect and track information regarding the RSB majors and minors: provide administrative support for auditing student major records for the Registrar's office.
  • Support student services with tasks such as providing syllabi to students requesting them.
  • Provide administrative support to fulfill honor society registration requirements.
  • Plan and execute the logistics of Undergraduate program office events (i.e. meetings, lectures, interviews) including scheduling venues, arranging for catering, securing accommodations and transportation for prospective candidates as well as guest speakers.
  • Handle routine office tasks including:
  • Establishes, updates, and maintains unit's files, inventories, and records; implements and maintains data management systems, as required.
  • Create and modify contracts for outside vendors in ESM Contract Management System.
  • Create surveys, analyzing data and produce graphical reports.
  • Performs miscellaneous job-related duties as assigned including support of the RSB Administrative coordinators.
  • Coordinate data collection for internal and external student awards such as, the C. J. Gray and P&Q Best & Brightest

Support the Associate Dean of International Programs including the following:

  • Support of the IBUS 387, Cultural Awareness course.

Support the Director for the Center of Professional Skills and Development
including the following:

  • Support of the Q-camp program.
  • Administrative support to EIR programs.
  • Robins mentoring programs.

Emergency Coordinator

  • Serves as Building Emergency Coordinator, acting as on-site representative of the Emergency Management Department.
  • Gives updates regarding emergency planning as needed to faculty and staff.

Excel Competency Exam Support

  • Maintain student records.
  • Analyze exam data, preparing reports, at least annually, on exam statistics.
  • Communicating with students on logistical issues including providing access to testing.
  • Communicating with platform provider on exam maintenance issues and student access.

Student Employment

  • Provide administrative support in the student employment process.
  • Create and maintain student employment contracts and records.

QUALIFICATIONS:

  • Ability to gather data, compile information, and prepare reports.
  • Records maintenance skills.
  • Computer and internet literacy, including, at a minimum, intermediate proficiency in Microsoft applications: Word, Excel, Powerpoint, and Outlook.
  • Understanding of website management and knowledge of UR software (Blackboard, Banner and BannerWeb, Digital Measures) though not required is helpful.
  • Skill in organizing resources and establishing priorities.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to create, compose, and edit written materials.
  • High level of initiative, resourcefulness, independence, and attention to detail
  • Ability to maintain confidential information and materials (e.g. tests, prospective candidates' applications)
  • Strong interpersonal skills to interact with diverse faculty, students, staff, and visitors and work effectively in a collaborative, group environment.

EDUCATION & EXPERIENCE:

  • Two to four years' experience; Bachelor's degree preferred

WORK HOURS:

  • Full-time, non-exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week

SALARY STRUCTURE:

Pay Grade 4 (Hiring Range $17.70 to $22.12 per hour)
