Duties & Responsibilities
Working in the HBS Alumni Relations Office, this position provides administrative support to the Director of Reunions and 3.5 Assistant Directors of Reunions as well as supervision and training of student and temporary workers. The Coordinator works independently with minimal supervision in a fast-paced work environment with multiple and conflicting priorities. S/he is a process- oriented, strategic thinker who anticipates and proactively resolves problems, is a team player, and handles confidential information with discretion. This position delivers excellent customer service and works collaboratively with other support staff and colleagues across HBS. The Coordinator serves as the first point of contact for Reunions, disseminates information, and directs HBS alumni to appropriate reunions and alumni relations resources.
The Coordinator, under the guidance of the Director, manages several high level financial projects for both reunion classes and internal operations each with multi-million dollar budgets. Liaises with the finance office to manage complex monthly reconciliation reports and journal entries for all reunion revenue. Manages the financial reports for each of the 12-14 reunion classes annually. Manages monthly and quarterly financials for internal operating budget such as quarterly deferred revenues, monthly correction journals, and monthly event credit card reconciliations.
In addition, the Coordinator, manages several projects directly related to reunion weekend staffing and execution. This position is responsible for creating bi-annual reunion staffing manuals for all professional and temporary staff. S/he independently manages registration headquarters during reunion weekends as well as specific staff training and project work leading up to reunions. Liaise extensively with internal and external constituents both within the School (Marketing & Communication, Development, Data Operations, Financial Office, etc.), and a variety of outside vendors. Works independently with outside vendors to manage bi-annual post-reunion survey to alumni and to create programming during reunion weekend for children of alumni.
Requires 5+ years professional experience including event planning experience.
