Job Description:

This position is responsible for assisting the general manager and all administrative departments in achieving customer satisfaction and operational goals. Supports management team as needed with administrative tasks. Follows CSM high standards of quality to ensure guest satisfaction.

• Maintains filing system for business matters.

• Schedules meetings and appointments with internal and external parties.

• Opens and distributes mail and faxes.

• Screens e-mail and follows up on matters.

• Manages all gift certificates/trade-outs and keeps a log.

• Orders hotel newspapers.

• Sends departure e-mails to hotel guests.

• Orders all hotel signage.

• Prepares materials/agendas/minutes in advance of meetings as required.

• Organizes and manages private parties in the water park.

• Maintains and develops internal and external customer relationships through effective communication, responding to requests in a timely and professional manner, and by keeping the General Manager and Director of Operations informed of problems or unusual matters of significance so prompt corrective action can be taken.

• Works as a team player in meeting guests needs, and actively contributes to the efforts of other department as necessary.

• Understands and follows CSM guest service recovery program.

• Composes correspondence as requested and provides work processing support including editing and proofing of documents to result in accurate and timely documents.

• Responsible for proper use of all office equipment and supplies, and adheres to cost controls to reduce expenses and waste.

• Orders office supplies for all departments and manages ordering/stocking/pricing for The Market gift shop.

• Maintains a clean and safe work area in compliance with CSM, brand, local, state and federal regulations.

• Follows all CSM procedures for guest/associate incidents.

• Knowledgeable of hotel emergency procedures.

• Produces required volume of work by planning, organizing and prioritizing work duties.

• Adheres to CSM attendance policy, grooming and appearance standards, and general work rules and department procedures.

• Attends all required department and hotel meetings.

Competencies/Skills Required: Previous customer service and administrative experience required, preferably in the hospitality or service industry. Word processing, spreadsheet, and basic computer knowledge required. Must have strong verbal and written communication skills. Attention to detail, customer focused and the ability to perform job duties in a fast paced environment.

Education: High school diploma or GED required.

Physical Requirements: Ability to lift, push and pull up to 20 pounds on an occasional basis.
