Job Description:
Description: Reporting to the Director of Business Management Office, the Sr Specialist Events Meeting Planne r is responsible for the organization and coordination of medium to large scale meetings and events for National Health Plan and Hospital Quality. This position provides strategic program guidance and project coordination that delivers the desirable outcomes to our organization in ways that promote the Kaiser Permanente culture.
Working in a collaborative environment, key accountabilities include: partnering with lead(s), sponsors, committee members and staff to assist in development of a well-organized program, maintaining those relationships; expert event consultation, site selection and onsite logistics; communication; planning, coordination and tracking work flow; event budget management, contracting and analyzing cost-effective events within industry and compliance standards.
  • Project Management: Works independently, sets priorities, timelines and schedules. Obtains necessary resources to meet deadlines, demonstrates ability to maintain focus, prioritizing tasks and clearly communicating priorities of work to team. Ability to oversee multiple projects independently.

  • Financial Planning: D evelop and review budgets and manage event costs. Manage event site logistics including facility selection, negotiating portions of contracts for event facility, vendors, suppliers.

  • Communication: Communicates clearly and effectively, both in oral and written forms. Excellent verbal and written skills. Effectively interacting with personnel at all levels of the organization internally and externally.

  • Customer Service: Demonstrates success by maintaining strong customer focus, results and achieving high levels of customer satisfaction. Excellent collaborative skills

  • Listening Skills: Listens actively to customer-s ideas and recommendations, maintaining awareness of cultural implications and nuances.

  • Judgment/Problem-Solving: Makes decisions about the project, knowing which resources to use and when to call on outside services. Consistently discern priorities when making commitments.

    Preferred Qualifications:

    Bachelor-s degree in a related field.
    Minimum of five years of progressively responsible related roles
    Proven experience as events planner for medium to large scale meetings/conferences/events of up to 700 participants, varying in complexity.
    Program and/or project management experience.
    Highly organized with strict attention to detail.
    Proficient in MS Office Suite (Word, Excel, PowerPoint, Access, Project), Outlook, budgeting.

    Essential Functions:
  • Partner with department leadership on business development opportunities, department policies and procedures.
  • Initiate client intake and service agreements.
  • Attend industry events and meetings on behalf of KP and the Event Marketing Department.
  • Opportunity to manage meeting project manager I or contract employees.
  • Provides SME or specialized consultation in specific areas of event marketing including webinar services, sponsorship/tradeshow activation.
  • Independently creates/charters, leads or participates in inter-departmental COP's.


    Basic Qualifications:
    Experience
  • Minimum ten (10) years of related experience in the meeting industry as a planner or supplier of meeting services.
    Education
  • High School Diploma or General Education Development (GED) required.
    License, Certification, Registration

  • Must demonstrate mastery of complex, multi-faceted projects and ability to lead a team environment.
  • Highly skilled in contract negotiations with knowledge of current legal principles and practices associated with contract negotiation.
  • Highly skilled in developing and closing final meeting budgets.
  • Superior customer service and consultative management skills.
  • Must be able to work in a Labor/Management Partnership environment.
