Duties & Responsibilities
Reporting to the Director of Individual Giving, the Assistant Director, Membership and Donor Relations is an integral member of an evolving development team charged with raising over $4.5M in annual contributed support for the theater. Under the Director's supervision, the Assistant Director, Membership and Donor Relations is charged with strengthening and expanding the A.R.T.'s membership programs, which includes developing and implementing effective strategies that will allow the department to meet or exceed its membership goal. The Assistant Director, Membership and Donor Relations will build donors' relationship with the theater and the department, stewarding them in person, over the phone, and via written materials in order to increase each individual's affinity and maximize their giving. The Assistant Director, Membership and Donor Relations will also work to advance the theater's pipeline of support by identifying, researching, and cultivating prospects, and creating opportunities for engagement tailored to each prospect's interests and philanthropic goals.
The Assistant Director, Membership and Donor Relations, will work in coordination with the Assistant Director, Events and Partnerships, and Development Information and Database Specialist to create and execute benefit fulfillment activities for individual donors and prospects, and participate in the execution of special events as it relates to the membership program, including establishing invitation lists, coordinating logistics with hosts and artistic guests, preparing research briefings, attending, and organizing appropriate follow up with guests. The theater's Development Department holds approximately 40 events each year, and growing, across all constituencies.
The Assistant Director, Membership and Donor Relations will participate in department and A.R.T. initiatives and perform other duties as needed.
- Spearhead new solicitation strategies to acquire new and upgraded gifts for the theater through mass mailing and digital campaigns.
- Works with and retools the theater's current membership model to increase annual giving and meet fundraising goals.
- Manages a portfolio of current donors and prospects. Work to identify, qualify, cultivate, solicit/upgrade, and steward these donors and friends of the theater.
- Works collaboratively with and in support of other development and theater staff, and other Harvard representatives to cultivate and solicit donors for the theater.
- Serves as support staff for all donor events at the theater including the Annual Gala, Opening Nights, and donor trips.
- Assist donors as the primary point of contact by helping to process donations, ticket exchanges and questions about membership.
- Manages and responsible for the planning of two (2) donor trips per season.
- Planning and executing cultivation and stewardship activities in conjunction with the Individual Giving team - including both one-on-one and small group events - within approved budgets.
- Works collaboratively and strategically with the Director of Development, A.R.T. development staff, and other campus leaders.
- Researches, collects, and analyzes data, compiles information, and prepares reports.
Candidates MUST meet the following basic qualifications in order to be considered for this role:
- Bachelor's degree in arts management, business, marketing, and/or communications with three years of experience.
- Proven track record of building donor relationships and closing gifts.
- Proficiency in Microsoft Office Suite, Tessitura, WordFly, and other relevant software including, but not limited to email deployment programs and strategies.
- Knowledge and history of gaining philanthropic support and financial commitments from others.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and the ability to work effectively with a wide range of constituents.
- Excellent organizational and time management skills in prioritizing workflow and managing resources.
- Ability to manage and maintain confidentiality of sensitive information.
- Ability to multi-task and demonstrate sound judgment and discretion.
- Ability to be a team player and willingness to take initiative.
