Job Description:

Analyze accounts with past due balances to determine appropriate course of action. Contact customers for collection efforts while maintaining a good customer relationship. Maintain relationships for national wholesale accounts including processing invoices, monitoring returns, and ensuring timely payments. Manage relationships with government accounts including gathering documentation, invoicing through customer portals, monitoring returns, and ensuring timely payments.


Primary Responsibilities



  • Analyze accounts with past due balances to determine appropriate course of action.  Communicate with Sales Representative for assigned accounts.  Course of action may include further communication with internal staff. Methods of customer communication may include phone calls, emails and other written communication

  • Maintain relationships with national wholesale accounts including processing of invoices, monitoring returns, and ensuring timely payments

  • Manage relationships with government accounts including gathering documentation, invoicing through customer portals, monitoring returns, and ensuring timely payments

  • Identify the source/key driver of collection issues in the organization and work with the Accounting Supervisor and Sales Team to affect changes that will prevent or resolve collection issues

  • Work closely and communicate regularly with the AR team to ensure knowledge is shared and processes are efficient

  • Assist Accounts Receivable team with reconciling customer disputes as they pertain to payment of outstanding balances

  • Communicate with the Accounts Receivable team regarding customer refunds, account adjustments, client discrepancies and short payments

  • Communicate with the Accounting Supervisor regarding delinquent account write-offs and accounts to be closed and sent to collections agency

  • Provide weekly and monthly account status reports to Accounting Supervisor and Sales Manager

  • Participate in planned team meetings

  • Meet defined department collection goals

  • Perform other assigned tasks and duties necessary to support the Accounts Receivable department

Experience Required: 



  • Minimum of Associates Degree in Accounting/Finance or Business Administration with a minimum of 2 years B2B collections experience or High School Diploma with a minimum of 3-5 years documented B2B collections experience

  • Accounts Receivable knowledge/experience a plus

  • Demonstrates time management skills with outstanding customer service and well developed verbal and written communication skills

  • Solid computer proficiency is required, with experience using Microsoft Office Suite.  A minimum of intermediate proficiency in Microsoft Excel required

  • Ability to be PCI compliant is required

  • Ability to problem solve by gathering information from multiple software systems
