The Administrative Officer provides support for Department Finance and Administrative Operations, Post Award fund management, and Human Resources (HR) Liaison responsibilities. Reporting to our Administrative Manager I, this position reviews the monthly GL and Department budget activity, assists with long/short term planning, coordinates special adminstrative projects, including implementation of new processes and systems. Independently manages several portfolios of faculty sponsored and non-sponsored funds. Provides extensive HR administrative support including recruitments/extensions/reductions for both academic and staff positions, utlizing the HR Service Request System (HR SRS) ticketing system. S/he is expected to work with limited input and oversight from the Department Manager.

Required Qualifications: College degree in related area and five years of experience, or equivalent experience / training
Working knowledge of common organization-specific and other computer application programs
Knowledge of common University-specific computer application programs
Thorough knowledge of academic rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management
Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees
Intermediate skills using Excel software and producing complicated spreadsheets for data analysis and financial projections; experience creating pivot tables and graphs and sorting data
Working knowledge of contracts and grants management; thorough understanding of related policies and procedures
Knowledge of a variety of administrative operational activities such as, risk management planning, accounting and payroll regulations and guidelines, sexual harassment and diversity
Strong skills in short term planning, analysis and problem-solving and customer service
Ability to use sound judgment in responding to issues and concerns
Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing
Solid organizational skills and ability to multi-task with demanding timeframes
Ability to use discretion and maintain confidentiality
Interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills
Preferred Qualifications: Training in UCSF RAS, and Post Award Management
Training in sexual harassment, diversity and inclusion
