The Office Administrator, under general supervision, provides key office support for assigned locations, including performance of a wide variety of specialized clerical functions involving compiling and arranging data, making computations, laying out and preparing reports, processing and coding documents, and maintaining specialized and comprehensive records and filing. They will be responsible for resolving discrepancies and may communicate with a variety of administrative and professional employees within and outside the organization.

Maintains appropriate records, files, documentation, etc. (Record retention)
Opens, sorts, and distributes incoming/outgoing mail (includes all mail / Fed-Ex/ Postage)
Order Office Supplies
Process Bank Deposits
Business licenses, permits & certificates
Process Donation requests
New Supplier set up/ New Customer set up
AP special requests
Scan and codes invoices and send to Corp AP
Set up reoccurring payments (including rent/ lawn maint.)
May greet walk-in customers / visitors
Invoice review and approval
May generate and distribute reports.
Answers phone, takes messages, provides information, or redirects calls as appropriate.
Operates office equipment such as a calculator, copy and facsimile machines, or personal computer.
Checks documents for accuracy and completeness, verifies information, and prepares forms.
Gathers, tabulates, and posts information and/or records.
Maintains SDW by loading weekly customer and product sales information from DMS into SDW. Identifies and corrects errors to ensure sales in DMS match sales in SDW.
Other duties as assigned.
High School Diploma or equivalent.
Minimum of 1 year experience in a clerical/ office role.
Ability to demonstrate a high degree of initiative.
Strong problem-solving skills
Excellent verbal/written communication skills.
Advanced knowledge of Excel, Word and PowerPoint are required.
Ability to adapt to changing organizational and operational needs.
Ability to communicate effectively with others at all levels in the organization.
Strong organizational skills and the ability to multi-task.
Ability to maintain the highest level of confidentiality.
