We are seeking a Purchasing Coordinator who will work with the Purchasing Administrator and the Director of Purchasing on the systems management and data entry for the procurement, inventorying and distribution of parts, assemblies and machines to support the refill operations team. The position will be located in the Vista, CA office.

What would be my responsibilities?

  • Maintain vendor files; purchase orders, freight bill of ladings, purchasing receipts both electronically and paper copies

  • Frequently utilizes internal Great Plains software program to perform data entry functions to include, creation and printing of purchase orders as well as entering estimated delivery dates

  • Process document requests submitted to Purchasing and the Shipping/Receiving Warehouse

  • Work closely with the Purchasing Administrator to assure historical files are up-to-date, accurate and new files are properly labeled and tracked 5. Assist with special projects in the Refill Division related to procurement and finance

  • Proficient administrative skills and clerical experience. Able to independently handle multiple priorities. Possesses good time management skills and the ability to balance short-term deadlines against long-term goals in a fast paced office environment; strong organizational skills are key

  • Detailed oriented, strong problem-solving skills, resourceful and diligent

  • Excellent computer skills required. Heavy use of Microsoft Office Outlook, Word, Excel and Microsoft Dynamics Great Plains ERP systems

  • Excellent verbal and written communication skills

  • Ability to work independently with minimal supervision

Education & Experience: The candidate must possess a High School Diploma or G.E.D; college degree preferred, and a minimum of 2 years’ experience in a finance, purchasing, or buying environment. Strong knowledge of MS Office, including Word, Excel and Outlook. Experience with Great Plains or ERP systems is a plus. Extensive knowledge of the operations, functions, and scope of authority of departments and offices related to handling and disposing of information and requests for information. Can read and write at a proficient level and follow specifications.

Other Requirements: Excellent computer skills with demonstrated hardware and Microsoft Office use proficiency (Advanced Excel and Intermediate Access). Excellent communication skills, both verbal and written. Ability to quickly learn and adapt as training opportunities arise.
