Office Services Associate - Full Time




The Office Services Associate position is responsible for providing general clerical office support (copy, fax, hospitality, mail, and receptionist functions) at a client site.


High school diploma or equivalent.

Minimum (1) year experience in an office services environment.

Skilled in the use of fax, mail, phone & and/or digital reprographics equipment.

Familiar with general fax, mail and reprographics procedures including collating and binding.

Attention to detail.

Must have good organizational skills

Must be able to meet deadlines and complete all projects in a timely manner.

Ability to handle sensitive and/or confidential documents and information.

Able to make independent decisions that conform to business needs and policy.

Good problem solving skills, with the ability and understanding of when to escalate a problem to a supervisory level.

Good written communication skills.

Must work well in a team environment.

Ability to work in a fast paced environment.

Professional telephone demeanor.

Must be self-motivated with positive can do attitude.

Proven customer service skills are required in order to create, maintain and enhance customer relationships.

Must be able to communicate and interact effectively with multi-functional and diverse backgrounds.


Frequent interaction with internal and external customers including staff, clients, management where courtesy and tact is required. Serves as a primary contact with clients.


Duties include, but are not limited to, the following areas and key points which require periodic checking through the course of the work day.


The OSA should ensure their work area is clean, stocked and in good order. All devices will be filled with paper and tested, meeting rooms will be ready, floors and restrooms will be clean. They will be free to interact and assist their customers and maintain the floor throughout the day. The OSA will be the "mortar" of all our "blocks" of service. The customers will not have to figure out who to contact nor need to follow up.

The OSA will also learn the unique requirements of their floor s business and trends. Greater knowledge of their needs and objectives will position the OSA to anticipate and assist.

Roles and Responsibilities


Check throughout the day to ensure supplies (toner, paper) are stocked.

Address any paper jams or maintenance issues.

Facilitate repairs that require more technical support.

Communicate to customers status of non-functioning devices.

Monitor usage and encourage, where appropriate, usage of our print shop.

Coordinate preventive maintenance program with users.


Keep clean and orderly throughout the day.

Restock supplies as needed throughout the day.

Maintain MFD device.

Complete inventories daily and replenish supplies.

Ensure other equipment is clean and working.

Complete inventories daily and replenish supplies.


Retrieve mail baskets from service landing when delivered.

Distribute throughout the floors.

Sweep (pick up) outgoing mail.

Return outgoing mail to service landing for retrieval by central mail associate.


Ensure that meeting rooms for each days meetings are set accordingly.

Ensure any food and beverage orders are in place as scheduled.

Ensure any audio visual requests have been fulfilled as scheduled.

Interface with requisite departments to address any deficiencies.


Inspect floor throughout the day to ensure it is organized and clean.

Address any minor cleaning (picking up) items.

Communicate to building services any cleaning or maintenance needs.

Communicate to customers timeline to resolve any open issues.


Promote and market the services of the print shop.

Assist customers with their print shop needs by:

- Explaining services.

- Facilitate delivery of raw materials for production.

- Facilitate return of finished products.

Monitor usage of printing devices and, if appropriate, direct work to the print shop.
