The Office of Student Health Services is seeking a Medical Administrative Assistant with some medical office and/or hospital experience to provide professional administrative support from July 1 – November 1, 2019. This position provides an excellent opportunity to experience a university environment and specifically within Student Health Services. The Medical Administrative Assistant will exercise initiative, and independent judgment. He/she must be comfortable in a medical office environment and work at a fast pace, when necessary. This is a front desk position reporting to the Director of Student Health Services and requires basic triage skills.


  • Provide administrative and clerical support to the Director. This includes setting up and maintaining confidential patient charts for the student population of nearly 7,000

  • Provide excellent customer service to students, parents, and doctor’s offices via phone, email and in person

  • Assist students with referrals to area physicians and maintain physician/facility referral information

  • Assist students with making appointments, as needed

  • Review incoming emails and answer accordingly in a timely manner

  • Process incoming Student Health and Immunization Records

  • Manage all aspects of immunization compliance by maintaining updated spreadsheets, tracking and alerting students to deadlines and by communicating with the Office of the Registrar for placement and removal of Medical Holds

  • Perform basic triage at front desk. Alert Clinician to emergency should any patient need to be prioritized

Required Qualifications:

  • Attention to detail and ability to multi-task; very organized

  • Excellent written and oral communication skills are essential

  • Strong interpersonal skills; must communicate clearly and be able to use good judgement and take initiative in an emergency

  • Ability to work independently and with limited supervision

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures

  • Ability to maintain the highest level of confidentiality

  • Must have proficient computer skills
