The Financial and Administrative Officer for the Departments of Creative Writing, Dance, Music, Theatre. Film and Digital Production, Palm Desert MFA budget and the Performing Arts Administration (PAA) reports to the Divisional FAO for CHASS with a dotted line reporting to the four Department Chairs. This position is responsible for providing management, coordination and oversight of the daily operations of the four independently operated Academic units and one Administrative support unit, including financial, human resources, academic support, contracts and grants, facilities management and other operational matters. The Departments of Creative Writing, Dance, Music and Theatre, Film and Digital Production academic personnel include ladder rank faculty, continuing lecturers, pre-six lecturers, visiting professors, researchers, associate-ins and teaching assistants. Facilities/Equipment/Instrument oversight includes: 52,000 sq. ft. of space in various locations, specialized studio space and special collections (instructions, costumes, and lab equipment) totaling more than $3.5 million. The departments offer undergraduate and graduate degree programs and public concert/performance events annually. The total operating budgets for the 5 departments is over 10 million. This position manages business, accountability, stewardship, publicity and support functions in the Departments to achieve Department and CHASS goals and objectives in meeting the mission of the University. Has significant responsibility to organize work to achieve broadly stated goals for the departments. Identifies objectives, develops strategies and policies, and functions with a high degree of autonomy.


Education Requirements


Bachelor's degree in related area and/or equivalent experience/training.



Minimum of 6 years of related experience.

6 - 10 years of related experience.

Previous supervisory/managerial experience.


Extensive knowledge of and demonstrated experience with Microsoft Office and common desktop/web applications in relations to on-line accounting, spreadsheets and data base management systems.
Demonstrated skills in employee supervision and HR administration.
Excellent written communication skills, including the ability to compose business correspondence, edit, and use correct spelling, punctuation and grammar.
Interpersonal skills to effectively motivate others.
Extensive knowledge of University policies, procedures, and common practices.
Experience in budget development and management using on-line financial, payroll, personnel, and purchasing systems, as well as contract and grant administration.
Solid knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll.
Knowledge of employment laws, union contracts, and ability to interpret UC personnel policies.
Solid skills to quickly evaluate complex issues and identify resolution.
Solid organizational and customer service skills to effectively manage multiple priorities.
Ability to function independently and take responsibility for results; organize workload with close attention to detail; manage multiple tasks and timelines; and maintain strict confidentiality.
Ability to develop policies and procedures to ensure accountability in all aspects of departmental administration.
Solid interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others.
Solid knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and/or personnel management within labor contract(s) and personnel policy.
Solid knowledge of common organization-specific and other computer application programs.


Management experience in an academic environment.

Knowledge of University policies and procedures, with ability to process all financial transactions on UCRFS and appropriate feeder systems. Working experience in the disciplines of Creative Writing, Dance, Music, Theatre, Film and Digital Production and/or Performing Arts.
