Shift : 1 

Start Time :  7:00am 

End Time :  4:00pm 

Schedule Days : Monday - Friday 

Position Status: Full Time (40 hrs week) 



Job Summary:


Assist clients by accepting parts orders and processing them in the most expedient, efficient manner.




Essential Functions:



  1. Acknowledge clients.  Set an example of good client relations and intra-company cooperation.

  2. Write Parts Sales Orders (PSO).

  3. Process parts warranty returns.

  4. Maintain knowledge regarding products and manufacturers.

  5. Process unusual and complex orders to meet clients’ needs.

  6. Receive mail-in purchase orders and confirming purchase orders.  Make verbal and written quotations to the client.

  7. Use the client account list when processing open account parts orders.

  8. Process cash sales, credit reports and cash settlement reports.

  9. Accept credit returns from clients and after-hours parts calls.

  10. Build hoses for clients as needed.

  11. Keep current on Service Letter updates.

  12. Work safely at all times.  Adhere to all applicable safety policies.  Comply with all company policies, procedures and standards.



Additional Responsibilities:



  1. Assist Parts and Service Sales Representative with all parts related questions or problems.  Provide sales leads as they occur.

  2. Assist in all departmental duties.  Maintain a working knowledge of Parts Department functions.  This includes:  Locate and price PSO's; pick, pack, back order, receive and ship a parts order; operate Parts Will Call; Accept Service Department orders; and operate computer terminal.

  3. Process cash sales.

  4. Works within and promotes corporate values.



Knowledge Skills and Abilities:



  1. Must have interpersonal skills sufficient to assist customers and employees in a professional manner.

  2. Ability to develop knowledge and use of Caterpillar and/or Allied reference sources.

  3. Sales techniques sufficient for recommending additional parts needed.

  4. Must have knowledge of Caterpillar parts, customer operations, customer transportation methods and Parts Department procedures and policies relating to Parts Sales Orders and Credit Memos.

  5. Ability to develop knowledge of Caterpillar and/or Allied parts, client operations, client transportation methods and Parts Department procedures and policies relating to Parts Sales Orders and Credit Memos.

  6. Ability to develop knowledge of Parts Exchange components, Caterpillar and Allied product lines and applications, and parts related work areas and their functions.

  7. Ability to develop proficiency in using DBS, SIS, Antares, and other computer programs in the performance of the job

  8. Mathematical skills sufficient for calculating discounts, taxes, and parts quotes.

  9. Ability to maintain consistent attendance.



Education and Experience:



  1. Proof of high school diploma or General Education Degree (GED).

  2. Prior experience in Parts, materials or similar industry preferred.

  3. Must be able to communicate (speak, read, comprehend, write) in English.
