Job Description:

New England Biolabs (NEB) is seeking a Part Time Administrative Assistant. The person in this position will support the function of the Operations Specialist serving multiple departments. This role is approximately 25-28 hours per week.


Primary Responsibilities:

  • Coordinate logistics for customer visits and events to ensure a positive experience for our partners; this includes scheduling travel, accommodations, catering and meeting agendas.

  • Support travel logistics and management by assisting in maintaining travel profiles for various staff and coordinate International Visas for NEB employees traveling outside of the US.

  • Assist with support of International Operations to ensure accurate and timely delivery of materials. This includes working cross-departmentally to coordinate forecasting/fulfillment of product samples and literature requests.

  • Use Salesforce case management to review and triage customer inquiries.

  • Manage expense reporting via Concur.

  • Reconcile monthly data from various sources for sales reporting tools.

  • Manage SharePoint Site.

  • Manage multiple departmental calendars.


Required Qualifications and Experience: 

  • Minimum of 4 years’ experience in an administrative role.

  • Strong personal project management skills and the ability to multi-task, while prioritizing and managing multiple projects.

  • Good communication skills, verbal and written.

  • Keen attention to detail.

  • Ability to work independently and problem solve, as well as within a team environment.

  • Excellent time management skills.

  • Knowledge of Microsoft Office Suite.


Preferred Qualifications and Experience: 

  • Bachelor’s degree preferred.

  • Knowledge of Salesforce and SharePoint.
