We are seeking an Administrative Assistant to join our growing and dynamic team! The Administrative Assistant will support teams in our New York & Washington DC offices and provide flawless execution of administrative duties, with high attention to detail, organization and process. This position is based in our New York office.
About the role:
The Administrative Assistant will work closely with and support the needs of key senior level staff and others on the team as needed. Responsibilities include, but are not limited to:
Heavy calendar management, scheduling and submitting timesheets on behalf of the Managing Director & Executive Vice President
Managing extensive travel arrangements and itineraries for both domestic and international travel and submitting expense reports for Senior Vice President’s and above
Coordinating internal and external meetings, including conference room set-up and catering
Providing back-up coverage for administrative colleagues
Maintaining highly sensitive information as it relates to the company and staff
Managing special projects as needed
Qualified candidates have most, if not all, of the following:
2+ years of administrative or related experience
Proficiency in Microsoft Office
Excellent written, verbal and interpersonal communication skills
Highly service-oriented with the ability to work well both as an individual contributor and as part of a team
Flexible attitude with the willingness to take on new projects
Strong ability to manage multiple priorities and take initiative
Strong judgment and ability to discreetly handle confidential information
