Position Summary:

The School of Business at Stevens Institute of Technology invites applications for a Senior Coordinator for Research Grants (SCRG). The SCRG will be a member of the staff at the School of Business at Stevens Institute of Technology, reporting to the Associate Dean of Research.  The SCRG will work closely with the Assistant Dean of Operations and the Associate Director of Budget.  The School of Business has grants from the National Science Foundation, DARPA, as well as other government agencies, and from foundations and corporations.

Essential Duties and Responsibilities:

The SCRG will assist principal investigators in setting up and administering research grants in the School of Business pre-award and post-award. The Coordinator will work closely with the Office of Sponsored Programs (OSP) and follow established protocols, policies and guidelines for the specific sponsor.

Specific duties will include:


  • Assist principal investigators in proposal preparation and budgeting.

  • Independently collaborate with OSP pre-award to prepare proposals for sponsor submission and post-award to set-up programs, establish budgets for awarded grants, etc.; and adhere to Stevens and State and Federal regulations on externally funded research programs.

  • Creation of new accounts in Kauli Financial Systems for awarded programs.

  • Design and prepare reports (e.g., budget-against-plan, monthly budgetary reports, etc.) for principal investigators using fiscal accounting and budgetary projections.

  • Reconcile accounts; investigate and resolve billing issues, and payment discrepancies.

  • Independently collaborate with Human Resources department to onboard faculty, students, and staff to participate on grants.

  • Generate payroll requisitions in Workday for individuals participating on grants.

  • Submit purchase requisitions in accordance with granting agency guidelines.

  • Coordinate travel in Concur; ensure principal investigator and others are properly reimbursed by the appropriate funding source.

  • Assist with matters related to project management, including coordinating of sponsor site visits.

  • Other related duties as assigned and required.

Requirements / Qualifications:


  • Bachelor’s degree in accounting or finance preferred, but consideration will be given for candidates who have relevant experience.

  • A minimum of two years of experience with budgeting and planning required.

  • Two years of experience with sponsored-research projects is highly desirable.

  • Familiarity with federal, state, and other sponsored regulations and policies for educational institutions desirable.

  • Candidate should be proficient in Workday and Kauli Financial Systems, or similar software.

  • Candidate must have excellent communication and interpersonal skills
