Position Title: Project Coordinator – 3N
Position Summary
Supports a team (District, Area, or Functional group) with assigned projects and/or any of the following as assigned: correspondence, various administration tasks, tracking project and financial deliverables, dates and monitoring deadlines; provides regular and timely reports highlighting variances as they arise.
Essential Job Functions
Provides program and project support as required.
Provides administrative support as required.
Updates necessary tracking system(s) to ensure that project and/or program status is maintained with complete accuracy, including third party management systems.
Creates, distributes or provides deliverables and correspondence relevant to the team, project or program (internal and external).
Assists with administrative preparation and tasks for various meetings.
Communicates all issues to management prior to reaching critical status.
Develops and maintains accurate and complete files for projects and programs; continues to monitor for integrity and completeness.
Provides reports as requested.
Support financial activities and processing, such as creating budgets, reporting financial status, forecasting revenue and cost, issuing POs, invoicing, releasing payment, budget close-out.
Manages project financials including budgeting, assisting with forecasting, issuing and receiving on vendor POs, issuing PORs to the customer, invoicing on customer POs, assisting with issues related to vendor invoices and invoices to the customer (including resolving past due invoices), and timely job closures.
Various Office management functions such as supply ordering, package shipment, event coordination, office vendor coordination and payment (garbage, utilities, coffee, etc.)
Education/Certifications
High school diploma or equivalent
Associate’s degree or equivalent work experience preferred
Experience/Minimum Requirements
One (1) to three (3) years in a general business environment with project coordination and/or administration experience
Other Skills/Abilities
Computer skills using Microsoft Office and ability to learn a variety of tracking and project management software
Reporting skills to support basic business function
Excellent organizational/administrative skills
Strong interpersonal skills and ability to collaborate effectively
Ability to thrive in a dynamic problem-solving environment and manage ambiguity when it occurs.
Ability to multi-task in a fast-paced environment
