The primary responsibility of this role will be to ensure the smooth and efficient administrative support to the Wabtec Atlanta site. Responsibilities will be broad and changeable in nature ranging from coordinating or leading special projects, arranging conferences through to preparing presentations. The Executive Assistant must be creative and enjoy working within an environment that is mission driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Essential Responsibilities:
  • Prioritize conflicting needs; handle matters expeditiously; proactively engage on and see projects through to successful completion within strict deadlines
  • Maintain and coordinate calendars, schedule appointments and meetings for executive business leaders
  • Plan, schedule, and arrange business meetings and travel itineraries; prepare and reconcile expense accounts
  • Process T&L expenses in accordance with GE guidelines and assist in managing expense accounts and budgets
  • Prepare communications such as organization announcements and newsletters
  • Prepare presentations, reports, spreadsheets, meeting minutes and other business information
  • Use discretion in interfacing with all levels of individuals, internally and externally
  • Prepare, evaluate, and edit incoming and outgoing communications for the executives
  • Serve as delegate for various approval processes for executive business leaders; including expense reports (Concur), computer peripherals (MyTech), electronic signatures, etc.
  • Keep org charts, seating, distribution lists up to date
  • Support teams in planning and executing customer and large internal events, including all logistical details, scouting locations, coordinating scheduling, accommodations, and catering
  • Direct business contacts to appropriate managers
  • Manage conference / huddle rooms and common office areas
  • Order and track general office supplies for Atlanta and Jacksonville offices
  • Coordinate the offices and employee supplier needs
  • Interact with vendors and building administration for maintenance needs, employee access to parking, fitness center.
  • Process invoices through Purchase Order (PO) system and onboard new vendors for facility related expenses
  • Lead special projects as requested
Qualifications/Requirements
  • Bachelor's degree required and a minimum of 5 years of administrative experience in a corporate environment supporting executives.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms; familiarity with video conferencing
Eligibility Requirements:
  • Legal authorization to work in the U.S. is required. We will not sponsor individuals for employment visas, now or in the future, for this job

  • Must be willing to travel to other Wabtec offices in the United States (primarily Jacksonville, Florida) to ensure smooth office operations
  • Must be willing to work out of an office located in Atlanta, Georgia, USA
