FM Talent Source is seeking an administrative professional to support one of our Federal Customers in Bethesda, MD at NIH.

Tasks/Services include but are not limited to:

  • Provide administrative support for daily office operations that include telecommunications, customer service, office inventory and equipment, and acquisition

  • Provide travel policy and procedural to staff

  • Create travel authorization and vouchers for reimbursement on the NBS CGE system; and hotel, air, and rental car with OMEGA Travel Agency; know and follow Government travel regulations

  • Perform data entry and maintain accurate and up-to-date electronic lists and databases

  • Maintain internal Internet, and SharePoint site

  • Serve as the point-of-contact and technical expert for remote access using WebEx and Adobe Connect for the quarterly Staff meetings and the monthly Division Chiefs and Section Heads meetings

  • Serve as the back-up point-of-contact for committee members, consultants, and Committee Management Office personnel between and during meetings

  • Work with committee members and consultants to plan travel accommodations; coordinate travel authorization and voucher processing in CGE

  • Orchestrate onboarding for new committee members and ad hoc consultants

  • Use the ITAS time keeping system to maintain the electronic time cards of support, administrative officers and senior staff and committee members

  • Maintain calendars of Associate Director, Library Operations; Deputy Associate Director of Library Operations

  • Prepare purchase orders through POTS

Certifications, License, Physical Requirements or Other Expertise Required

  • High School Diploma

  • Previous or current NIH experience desired

  • Working knowledge of ITAS time keeping system

  • Working knowledge of POTS for preparing purchase orders

  • Knowledge of government travel policies, specifically with the NBS CGE system 

  • Advanced skill level with Microsoft Office, Web Ex and Adobe Connect

  • Intermediate skill level in SharePoint and Wiki software

  • Ability to lift and carry materials up to 40 pounds

  • Strong communication skills, both oral and written

  • Excellent organizational and time management skills

  • Ability to take the initiative in support of the Associate Director’s office

  • Ability to be discreet and exercise good judgment
