Position Purpose: Buyer/Inventory/Planner

This position is responsible for the management of inventory levels, purchasing, scheduling, timely delivery of items as well as support of demand planning for the Trinity Health Distribution Center(s) to maintain exemplary service levels to Trinity Health members. Procures and/or sources supplies, equipment and services required to support the corporate, service and Health Ministry Organizations of Trinity Health to ensure the most efficient and accurate processing of all transactions, with the overall goal of minimizing the total cost of ownership. This position routinely handles confidential materials is involved in confidential matters relative to supplier relationships and is expected to maintain confidentiality within the Supply Chain Management department.

Maintains group purchasing compliance by maximizing the use of purchasing agreements negotiated for TH's national group purchasing organization, custom contracts and logistic service agreements. Ensures all product categories purchased in accordance with contract's term and conditions.
Prepares purchase orders indicating vendors, items, and quantities; contacts selected vendor to place order and schedule delivery; follows up to ensure timely delivery.
Understands the Group Purchasing Organization's and Trinity's Contract Portfolio to leverage and utilize appropriate agreements.
Understands supplier options based on sourcing strategies, as per direction of the Strategic Sourcing team. Assists in analyses of markets to determine vendor sources and product availability.
Develops fact bases for major purchasing categories, including detailed understanding of descriptions of the product and service offerings, capabilities, strengths and weakness of current suppliers.
Reviews and processes all system generated requisition and purchase orders. Verifies current pricing and delivery systems. Inputs all requisitions in accordance with standard policies and procedures.
Periodically reviews forecasted demand for assigned products, requisition review, and setting optimal inventory levels.
Manages day to day supplier interactions including ordering, delivery times, and supports invoice payment process per contractual obligations. Resolves any accounts payable, supply quality, receiving, and shipping discrepancies that may arise.
Communicates any identifiable potential supply concerns that may impact the quality of customer operations and patient care or the integrity of supplier data.
Provides supplier performance feedback and data to the Supplier Quality and Performance Manager, Supply Chain Operations, Strategic Sourcing and others as needed.
Reschedules, PO changes, and cancellations as needed to maintain accurate performance reports. Expedites outstanding orders routinely.
Processes returns, recalls, and coordinates refund activities with the suppliers.
Maintains assigned performance measurements/KPI's, updates records and run reports as needed
Work with Manager of Inventory Planning, 3PL, and suppliers to maximize service level and cost savings, while ensuring on-time, accurate processing of transactions.
Confirms contractual pricing and notifies Contract Analysts of pricing discrepancies.
Maintains a working knowledge of applicable Federal, State and local laws/regulations; the Trinity Health Integrity and Compliance Program and Code of Conduct; as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior.
Must possess knowledge of supply chain principles and practices, as normally obtained through a Bachelor's degree with major coursework in business, purchasing, or applicable clinical license or an equivalent combination of education and/or related work experience.
Two or more years experience as a Purchasing Buyer, inventory planner, inventory analyst - healthcare experience preferred but not required.
Must possess a comprehensive knowledge of data analysis, purchasing, pricing, types and quality of products and services, as well as knowledge of prices and market trends and establishing vendor relationships. Prefer experience in the healthcare industry.
Understanding of customer and stakeholder businesses at the financial, operational and business impact levels.
Working knowledge of inventory control methods and Economic Order Quality models.
APICS certification preferred.
Ability to identify problems, make recommendations and decisions, and implement solutions. Demonstrated ability to identify, investigate, analyze and resolve complex issues. Ability to produce effective verbal and written communications in support of business goals. Strong problem solving skills with ability to research problems and present findings.
Must possess solid customer service qualities along with excellent interpersonal skills. Must be comfortable operating in a collaborative, shared leadership environment. Must have ability to work effectively in a large, multi-level, geographically dispersed organization.

Must have demonstrated knowledge of appropriate applications and data analysis: Excel, MS Office and use of the web applications.

PHYSICAL AND MENTAL REQUIREMENTS AND WORKING CONDITIONS
Work will generally be accomplished in an office environment and must be able to operate a computer, telephone and other office equipment. Must be able to file and maintain office records.
Must be able to set and organize own work priorities and adapt to them as they change frequently.
Must be able to travel to the various Trinity Health sites (10%) as needed.
