SUMMARYProvide high level administrative support for Plant Manager, Supervisors, manufacturing operations, Human Resources, Benefits, Payroll, Accounting, Safety and other departments in NAPCO Plant and Westlake Corporate Offices.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.Fully supports Company goals of continuous improvement and operational excellence at strategic and tactical levels including reviewing area of responsibility for improvement opportunities to initiate projects or communicate ideas to management as well as active participation on project teams.
Records associate information such as personal data, compensation, benefits, attendance, performance reviews or evaluations, and termination date and reason
Process employment applications and assists in other employment activities
Updates associate files to document personnel actions and to provide information for payroll and other uses Examines associate files to answer inquires and provides information to authorized persons
Compiles data from personnel records and prepares reports Computes wages and records data for use in payroll processing
Compiles and maintains records for use in associate benefits administration
Prepares and files reports accidents and injuries at establishment
Schedules outside training Responsible for making hotel reservations for outside trainings and/or meetings.
Also schedules hotel reservations and sets up for any in-house training or meeting.
Is responsible for distributing incoming mail, outgoing UPS packages and mail
Backup for Vendor Invoice Management (VIM) accounting and coding
Organize, document, obtain approvals and transmit hourly and salary work time to Corporate.
Receive and distribute paychecks to hourly and salary associates
Insure all absence reports and supporting documentation is gathered for input in attendance sheets and maintained
Schedule and coordinate random drug testing, annual audiograms, annual health fair and annual audiometric testing.
Responsible for maintaining all supporting documentation.
Gather and maintain all safety records and insure their accuracy.
Track and input all safety incidents in Incident Tracker database, as well as the internal Accident Log, OSHA Log and Quarterly Incentive Data spreadsheet Coordinate background check and physical for all prospective new hires.
Insure all new hire information is collected and facilitate benefits information to associates
Coordinate and input open enrollment information for all associates
Input and maintain SAP HR information Miscellaneous clerical duties; word processing, sorting and filing.
Orientation of temporary and new full time permanent associates
SUPERVISORY RESPONSIBILITIES No supervisory responsibilitiesQUALIFICATIONS Solid writing skills and the ability to work accurately with numbers. Proficient in Word, Excel, Access and Windows operating system. Requires strong time management, organization and excellent interpersonal skills. Demonstrated skills in performing Clerk I and Clerk II responsibilities. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. LANGUAGE SKILLS Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or associates of organization.REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.EDUCATION and/or EXPERIENCE Associate s degree (A.A.) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.PHYSICAL DEMANDSWhile performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stoop, kneel, or crouch. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.WORK ENVIRONMENTThe noise level in the work environment is usually moderate as normally based in an office. Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc. May also result in exposure to outside elements and may require usage of stairs and elevators.
