Job Description:

Job Summary

The Associate Administrative Assistant will augment the district director's capacity and time to effectively manage the Purdue Cooperative Extension Service Southwest District. This person will also ensure the office runs efficiently in district director's absence by being well informed of all activities within the office. Responsibilities will include but are not limited to:

  • Handling confidential files and correspondence
  • Responsible for the disposition of correspondence and handling those items which do not directly require the district director's attention
  • Originating absence forms, new employee forms and requisitions
  • Directing information and inquiries to appropriate person/area
  • Processing University forms, preparing reports, following procedures, and dealing tactfully with a variety of individuals
  • Screening visitors and phone calls
  • Handling questions and problems as appropriate and referring calls to district director and county/campus staff as necessary
  • Screening all mail, attaching pertinent file materials, determining priority of items, and noting important dates
  • Scheduling meetings and appointments for district director, county staff, and other individuals and groups
  • Serving as liaison between county Extension offices and state Extension administration and Extension specialists located on campus
  • Contacting, frequently by telephone, Extension staff, federal, state and private organizations, and other offices and staff on campus

This position is located in Terre Haute, IN


  • High School Diploma or GED
  • Strong oral and written communication skills including high quality telephone etiquette
  • Knowledge of and proficiency with basic business office functions - ability to work a computer, fax, copy/printer efficiently
  • Excellent customer service skills and professionalism in dealing with students, individuals and business customers
  • Strong organizational and time management skills with emphasis on accuracy and attention to detail
  • Motivated individual with ability to efficiently multi task and work under pressure
  • Capable of taking initiative, assuming responsibility and handling confidential information with discretion
  • Ability to work independently with minimal supervision and contribute in a team environment
  • Must possess a learning orientation to changing technology
  • Proficiency in software: Microsoft Office Word, Excel and Outlook (email & Calendar.)


  • Clerical office support and customer service experience
  • Proficiency in MS PowerPoint
  • University experience
