Position Overview

The position will require 20 hours per week in the traditional office hours of 9AM-5PM. In the situation that the Office Assistant is needed outside of these office hours, they will be notified in advance if their schedule permits them to participate in office staffing. The Office Assistant can set their own 20 hours a week schedule with the approval of their supervisor. Graduate Student Life acknowledges that the Office Assistant is a student first and will work with the Office Assistant to ensure their success. The Office Assistant will be responsible for working alongside the Director to promote and demonstrate a genuine interest in the positive experience of graduate students with Graduate Student Life.

Areas of Responsibility

  • Assist Graduate Student Life with day to day functions such as assisting walk-in visitors with questions, answering the phone, and responding to office emails.

  • Event planning, marketing, and management using online tools.

  • Staffing of events and executing programs.

  • Assistance with annual events and activities.

  • Supporting and staffing university-wide events (i.e. commencement, convocation, etc.).

  • Assistance with special projects and enrollment yielding activities

  • Support the Director in special projects.

  • Support activities related to new student arrival and transition.

  • Other responsibilities as assigned.


  • Integrity and confidentiality with office operations

  • Ability to communicate professionally via e-mail and in person

  • Willingness to learn new skills, policies, and procedures

  • Strong self-initiation and the ability to work independently when necessary, while simultaneously being a strong team player and highly collaborative

  • Strong organizational, prioritization, and time management skills

  • Demonstrated creative, strong analytical and problem-solving skills

  • Ability to flourish in a highly dynamic and fast-paced environment with multiple priorities.

  • Proficient in Excel, Word, Power Point, EventBrite, Graduate DuckLink, Canva

  • Currently enrolled graduate student
