GHD has an excellent opportunity for an Part Time as Needed Administration Assistant to work from our Emeryville, CA offices.

In this role you can expect
  • This is a part time as needed opportunity at/or around 20 hours weekly
  • To be a dedicated hands-on Administrative Professional with a background in providing administrative support across a range of functions.
  • Dedicated hands-on Administrative Professional providing a high level of administrative support to our Emeryville office staff and management team. You will oversees the completion and coordination of day to day routine activities for the Emeryville office.
  • Strong organizational, planning, teamwork and communication skills with the ability to prioritize multiple tasks on a daily basis.
  • High level of discretion in dealing with confidential matters.

The Administrative Assistant role includes, but is not limited to, the following:
  • Document preparation. Advanced/proficient skills in: Excel spreadsheets, PowerPoint, Word and Outlook.
  • Drafting and monitoring correspondence (including emails, faxes, reports and papers) when required.
  • Schedule activities such as meetings, travel, conferences and regional events.
  • Promote and coordinate community outreach, including GHD sponsored Events.
  • Participate in office committees as assigned, which may include internal and external-focused groups.
  • General office and reception duties - back up for office reception including greeting visitors, answering phones & management of incoming/outgoing mail.
  • Executive support for the Santa Rosa Office Manager (including diary & calendar management).
  • Expense reports, invoice management, organization of receipts, and data-entry.
  • Assist financial analyst with other duties as required.
  • Update weekly staff schedules for direct reports.
  • Maintain office supplies, general equipment (i.e. fax machine, printers, furniture, etc.) and overall office appearance to project a professional image.
  • Conduct new hire employee orientations and new hire training as required.
  • Facilities management / coordination for building matters.
  • Work closely with other regional offices and corporate administrative support on projects as required.
  • Assist marketing team/pursuit coordinators with tasks as required.
  • Management and filing of correspondence, including the safe storage of confidential material.
  • Forecast administrative and support needs, proactively take care of issues as they arise.
  • Supervision of front office staff.
  • Other reasonable duties as required.

What you will bring to the position
  • Minimum AA Degree or higher preferred.
  • Demonstrated experience in an Administrative role, supporting staff and Management.
  • Cooperativeness/strong team player.
  • Ability to create an office atmosphere that supports employee camaraderie and high moral amongst staff.
  • Strong communication skills - both oral and written.
  • Good people relationship skills - both internally and externally.
  • Highly developed judgment with appreciation of tact, diplomacy and discretion when dealing with confidential matters.
  • Strategic planner & organizer who thinks ahead.
  • Understanding and adherence to GHD's values, Codes of Conduct and Policies.
  • Ability to take direction, as well as working independently.
  • All documents of a high standard.
  • Excellent time management and ability to multi-task.
  • Exceptional attention to detail.
