Here, you will be a vital contributor to our inspiring, bold mission.  As a Site Engagement Coordinator, you will be empowered to serve on project teams for discovery to development programs.


  • Supports preparation and publication of site-wide communications (weekly/monthly newsletter) that serve as central source of information for keeping site personnel informed.

  • Supports Corporate Social Responsibility (CSR) events at Takeda California

  • Supports team members with site events, schedule management, and budget tracking

  • Assists the Senior Manager, Site Engagement in developing and strengthening community and CSR relationships around San Diego


Site Communications Support (approximately 50% total)

  • Initiates preparation and publication of internal site communications, including but not limited to, designing the weekly and monthly newsletters, display screens, and updating site event town hall and steering committee slides

  • Responsible for keeping intranet and website current with relevant content collected from staff and management

Event and CSR Relationship Support (approximately 40% total)

  • Develops new, and strengthens existing vendor and CSR relationships within the San Diego community, alongside the Senior Manager, Site Engagement and External Relations

  • Supports and executes recurring TCAL site and CSR events, from correspondences with vendors, venue and logistical support, to invoicing and follow-up at the end

  • Responsible for designing invitations and communications materials for site-wide events

  • Ensures proper event budget reporting and maintenance of the event budget

  • Supports the Senior Manager of Site Engagement & External Relations at site and community events

  • Compiles a monthly and annual report of programs

Administrative Support (approximately 10% total)

  • Actively manages program and corporate communications calendar

  • Assists the Senior Manager of Site Engagement & External Relations to recruit group staff and interns

  • Oversees completion of the daily tasks assigned to site engagement interns

  • Performs other special projects or duties as assigned by manager or leadership team

  • Assists other Site Engagement and Administration colleagues with site-wide events

  • Supports one of the main scientific group leaders with scheduling and travelling

  • Other tasks as needed and requested by the senior manager of site engagement


  • Education

  • Bachelor’s degree (degree in English, Communications, and/or Hospitality Management preferred)

  • Minimum of 5 years of executive or senior administrative assistant experience.

  • Experience

  • Past event (creating, leading on, and executing high impact, high-attendance events) and communications experience required

  • Demonstrated ability to work within budgetary constraints and devise creative event solutions to budgetary constraints

  • Demonstrated ability to problem-solve, negotiate solutions, think strategically, and operate in a fast-paced environment

  • Ability to prioritize under pressure while managing multiple tasks of varied complexity and criticality simultaneously

  • Ability to lead teams on a project-by-project basis

  • Demonstrated ability to prepare and deliver (if needed) high level/strategy presentations

  • Proven ability to communicate clearly and present key information objectively and collaborate effectively with cross-functional team members

  • Demonstrated ability to manage upwards in an effective and timely manner

  • Strong organizational and project management skills

  • Strong computer literacy with expert fluency in Microsoft Office; graphics and design skills a plus

  • Keen focus on accuracy and attention to detail

  • Flexible mindset

  • Willingness to provide and receive constructive feedback

  • Project/Program and event management skills required

  • Ability to work in a virtual setting/across time-zones, i.e., making effective use of communication tools (WebEx, TelePresence, telephone and video conferencing, etc.)

  • Flexibility, tolerance, and diplomacy to best manage change, differing opinions, and third-party vendors

  • Ability to work in a highly complex, multi-cultural, often stressful environment

  • Highly effective communications skills – written and verbal

  • Management of multiple tasks of varied complexity simultaneously

  • Excellent organizational skills with a proactive problem-solving approach

  • Effective at preparing presentation materials with appropriate messaging and focused recommendations

  • Microsoft Office fluency, graphics and design skills highly preferred

  • Fluent in English


  • PMP certification preferred but not required


  • Must have reliable transportation means to local events and meetings
