POSITION OVERVIEW:

TheOffice Manager is the Senior Clerical support person for an office who willdirect the work of all other clerical staff members and will function as theSecretary for the department's senior management. Handle all sensitive orconfidential material.

KEY ESSENTIAL FUNCTIONS:

  • Supervisethe department's clerical work-flow.
  • Superviseall clerical staff members and provide training.
  • Performregular evaluations and recommend promotions or changes of assignments.
  • TheOffice Manager is an integral part of the hiring process for all clerical staffmembers.
  • Recommend candidate selection.
  • Overseefee processing and ensure that agency's practice is being adhered to.
  • Conductperiodic audits of all data entry performed to ensure accuracy and also todetermine that staff understands all procedures associated with such processes.
  • Providesecretarial support to the Division director and other management staffmembers, especially in confidential matters.
  • Monitor,distribute and replenish the petty cash for the division.
  • Verifyaccuracy and prepare weekly attendance sheets for the Director's approval.
  • Submitall status forms/PAFs and pay documents for the division in a timely manner.
  • Becomeacquainted with appropriate OSHA and other safety regulations and ensure thatsuch requirements are met.
  • Ordersupplies for the facility.
  • May becalled upon to perform any of the tasks normally associated with his/hersubordinates.
  • Otherduties as assigned.
