Job Description:

The Administrative Assistant coordinates training, manages scheduling and performs a variety of clerical and administrative tasks. The selected individual must have the ability to interact with staff (at all levels) in a fast paced environment, remaining flexible, proactive, resourceful and efficient and be able to provide excellent internal and external customer service.

This is a temporary, grant-funded, full time, benefited position. This role is currently work-from-home and may require moving to the office environment after the COVID-19 restrictions are lifted.


  • Verifies volunteers’ skills, availability, and program requirements. 

  • Schedules, coordinates, and assigns volunteers. 

  • Regularly communicates with volunteers to ensure placement is a good fit for individuals’ skills and goals. 

  • Processes records, applications, and other data concerning volunteer program. 

  • Retrieves information as requested from records, email, and other related documents; prepares written summaries of data when needed.

  • Responds to and resolves administrative inquiries and questions.

  • Coordinates and schedules trainings and meetings for assigned group.

  • Monitors requests for office supplies and equipment; coordinates maintenance of office equipment.

  • Plans, organizes, and effectively conducts employee training on various skill, policy, and compliance areas. 

  • Creates and maintains logs of qualifications, learning assessments, and other required information. 

  • Facilitates the scheduling of training times with attendees; preparing and distributing training aids such as handouts.

  • Performs other related tasks.


  • Excellent verbal and written communication skills.

  • Excellent interpersonal and customer service skills.

  • Proficient in Microsoft Office Suite or related software.

  • Excellent organizational skills and attention to detail.

  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.

  • Ability to work independently.


  • High School diploma or GED required.

  • Associates or Bachelor’s degree in business-related field preferred.

  • One to two years of experience in an administrative role.
