Job Description:

SUMMARY


Provides phone relief to Corporate Receptionist for breaks, lunch, vacation and when possible, cover sick days.  Handles all mail in Corporate Office.  Provides excellent internal and external customer service.  Provides clerical support to Administration.  Pick up and distribute mail and prepare items for shipping.  Performs assigned duties in building, including light housekeeping.  May work with highly confidential and sensitive information, and must maintain a high level of integrity and confidentiality at all times.


 


ESSENTIAL DUTIES AND RESPONSIBILITIES:



  • Represent Riverview in a professional manner while greeting internal and external customers in person and over the telephone respectfully and in a positive manner.

  • Routes incoming calls to the appropriate department/personnel.

  • Pick up mail, sort and distribute to all departments daily.  Prepare outgoing mail for delivery to post office.  Prepare items for shipping.

  • Track US Postal Service updates for new rates.

  • Maintain mailroom and file rooms in neat and organized manner.

  • Deliver, or coordinate delivery, of supplies.

  • Keep areas stocked with coffee/tea supplies, condiments, plates, cups, utensils and bottled water.  Routinely clean coffee pots.  Maintain catered luncheon dinnerware.

  • Keep cleaning supplies, first aid kits and bloodborne pathogen clean-up kit stocked.  

  • Provide assistance to Corporate Secretary with Board and other meeting setup and clean up.

  • Load/unload dishwasher as necessary.

  • Complete various administrative assignments (i.e. compose letters, set up and maintain filing system, perform copying and scanning).

  • Complete all filing for the department on a timely basis.

  • Provide periodic administrative support to other departments in the branch/bank with Supervisor authorization.

  • Attendance is critical, as this position provides coverage at the reception desk.

  • Participate in and complete training objectives with passing scores.

  • Follow all Riverview policies and procedures.

  • Additional duties as assigned.

 



 RELATIONSHIPS




  • Daily contact with Supervisor to receive direction and interpretation of new and existing procedures.




  • Daily contact with customers and prospective customers in routing incoming calls and providing assistance in the receiving area.




  • Daily contact with co-workers.



 


QUALIFICATIONS

EDUCATION and/or EXPERIENCE


High school student, graduate or (GED); or six months to one year related experience and/or training; or equivalent combination of education and experience.  Preferred:  familiarity with postal rates and machinery.  Basic knowledge of MS Office and E-mail.

  • Ability to read and comprehend simple instructions, short correspondence, and memos. 

  • Ability to write simple correspondence. 

  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

  • Ability to apply common sense understanding to carry out simple one- or two-step instructions.  Ability to deal with standardized situations with only occasional or no variables.

Valid driver's license.

WORK ENVIRONMENT

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts; high, precarious places, i.e. ladders, up to 12'; fumes or airborne particles; outside weather conditions; and risk of electrical shock.  The noise level in the work environment is usually moderate.
