Job Description:

GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Staff Assistant III is an integral part of and provides key administrative support to the Addiction Medicine Fellowship and MGH Substance Use Disorders (SUDs) Initiative, a hospital-wide program to improve access to evidence-based treatment for substance use disorder (SUD). The Addiction Medicine Fellowship is a new one-year fellowship training program for physicians interested in becoming addiction specialists. The fellowship is partially funded by a grant from the Health Resources and Services Administration (HRSA) to recruit and train fellows who are under-represented in medicine and interested in working in under-served communities. The position requires a high degree of flexibility, independence, and willingness to participate in multiple activities in providing support to the program. The position requires strong communication skills and the ability to converse comfortably with clinical and administrative staff.

PRINCIPAL DUTIES AND RESPONSIBILITIES: .

Serves as the coordinator for the Addiction Medicine Fellowship

*

Support the program directors in managing the fellowship application process
*

Support the management of HRSA fellowship slots and grant requirements
*

Schedule and coordinate all fellowship interview days
*

Coordinate new hire process and orientation for fellows
*

Coordinate fellow schedule/rotations and serve as primary contact to fellows for ongoing support/coordination
*

Organize speakers and schedules for didactic presentations
*

Support budget management and expense reimbursement process
*

Represents the fellowship at meetings related to fellowship at MGH and externally
*

Liaise with collaborating organizations for fellow rotation sites
*

Coordinate fellow evaluation process and program review committee meetings
*

Complete annual requirements for ACGME and Partners Graduate Medical Education office
*

Maintains fellowship program website

*

Provides administrative support to the Fellowship Program Director(s)

*

Provides calendar management and schedules all meetings
*

Completes expense reports as needed
*

Provides other support as needed

*

Provides administrative support to the SUDs Initiative

*

Supports meeting scheduling, calendar management, meeting minutes
*

Supports grant proposal and submission process
*

Orders team supplies/materials
*

Organizes educational and team events
*

Assumes special projects as directed

SKILLS/ABILITIES/COMPETENCIES REQUIRED:

EDUCATION:

High School diploma or equivalent required, Bachelors degree preferred
