Job Description

OBJECTIVES/PURPOSE:


  • Manages strategic projects and optimization of processes for the Meetings and Travel Center of Excellence (COE).

  • Supports the Global Head,  Meetings & Travel COE on all initiatives, prioritizes key information, provides background on projects and ensures timely follow up. 

  • Guides management at all levels to complete necessary objectives related to meetings, travel, fleet, and aviation.

  • Establishes and implements project management structure, including continuous improvement methodologies, governance structure and progress reporting.

  • Position reports to the Global Head,  Meetings & Travel Center of Excellence, with ongoing exposure to the C-suite and senior executives, and partners with the Travel, Meetings & Events, Fleet and Aviation Leads.

ACCOUNTABILITIES: 


  • Provides project management leadership across a program of projects or a large project with broad implementation.  This role will be integral in setting and ensuring alignment across a set of integrated initiatives.

  • Identify and drive project and resource priorities that align with Meetings and Travel Center of Excellence objectives.  Establishes, communicates, and executes plans that drive toward goal achievement.

  • Manage the identification of potential issues or obstacles and achieves resolution or plans contingencies and follow issues through to resolution.

  • Management responsibility for various programs includes cross-functional team members including in some cases affiliates and/or suppliers in the US and globally.  Provide guidance for team members and review overall progress. 

  • Responsible for setting and managing expectations, highlighting and resolving issues, ensuring regular communications and managing internal and external activities.

  • Identify avenues for continuous improvement of services and processes within scope of responsibility that would drive growth/efficiency within the department and the wider business organization.

  • Assures appropriate decision making occurs on projects and promotes timely completion of goals/projects.

  • Responsible for communication of necessary integration/implementation information across the Meetings and Travel Center of Excellence and Takeda globally.

  • Responsible for understanding linkages between cross functional systems and data dependencies.

  • Facilitate error resolution due to data transmission between cross functional systems.

  • Leads special projects to support the overall corporate strategy, as requested.

  • Responsible for managing various programs and cross-functional team, including affiliates and/or suppliers in the US and globally, that include over 80 countries with multiple meeting/event groups and stakeholders.

  • Leads global projects using high degree of change management knowledge and skillset due to the global environment and complexity.

CORE ELEMENTS RELATED TO THIS ROLE: 


  • Strong project management experience in the pharmaceutical industry; Travel, Meetings and Fleet operational knowledge a strong plus.

  • Highly organized with the ability to manage ongoing conflicting work load demands of both planned and short lead time requests in a fast paced environment

  • Ability to manage multiple global projects of significant complexity.

  • Independently supervises and manages vendors and temporary staff to complete tasks related to project.

  • Responisble for the creation and ongoing management of all global travel, meetings, fleet, and aviation policies.

  • Content steward with responsibility to manage, maintain and update all information on team intranet sites.

  • Manages external vendor relationships and clearly communicates all agreements and directives as related to projects in progress. Monitors and manages performance of suppliers to ensure uninterrupted service.

  • Manage multiple projects and policies in a highly regulated environment ensuring adherence to the different global policies and compliance for the Global Healthcare community.

  • Strong project and process management skills; ability to handle multiple tasks, competing priorities and meet deadlines while maintaining quality and accuracy

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS

Required


  • Bachelor’s degree with a minimum of 5 years of project management experience in a corporate or consulting environment

  • Consultative approach and experience in: project management, planning, detailed program budgets, third party relationships, meeting execution, contract negotiations, and risk management

  • 5 years experience and interaction with multi-national stakeholders and executive level interaction.

  • Multi-lingual preferred

  • Advanced proficiency in Travel and Meetings management technology
