We are looking for a full-time Payroll Accountant to work 37.5 hours per week remotely at the present time until a potential return to our office in Palo Alto, CA. This position reports to the Controller. The ideal candidate will have strong payroll and fringe benefits knowledge including excellent knowledge of ADP Workforce Now, great communication skills, strong attention to detail, the ability to work well independently and is located in the San Francisco Bay Area.

Key responsibilities include:

 

Payroll and Payroll Tax:

  • Processing accurate and timely semi-monthly, multi-state payroll in 15 states

  • Researching and maintaining state registrations needed for multi-state payroll.

  • Working with employees, supervisors, and HR to administer timekeeping records

  • Checking and auditing timekeeping records for compliance with legal standards

  • Providing excellent customer service to employees who have questions regarding their paycheck, benefit deductions or the payroll process

  • Updating and maintaining employee data related to payroll and payroll taxes and working with HR to ensure data is current and accurate

  • Computing and processing payroll adjustments, exceptions, and supplemental payrolls

  • Communicating and coordinating effectively as needed with our payroll service and regulatory agencies

  • Investigating and resolving issues related to payroll records, payments and withholding

  • Reviewing payroll and payroll tax reports for accuracy, reconciling payments, and preparing payroll journal vouchers for the GL

  • Performing other responsibilities as assigned

 

Accounting & Employee Benefits:

·       Performing the accounting responsibilities required for the 403(b) retirement plan, including payroll deductions, semi-monthly plan contributions, and reconciliation of plan contributions.

·       Assisting with the preparation of the annual Form 5500

·       Assisting with the preparation of the annual audit schedules for the 403b plan

·       Processing accounting and expenses related to a 125 Cafeteria Plan, life insurance and disability insurance, and other employee benefit programs

·       Staying current on changing federal and state regulations and accounting policies affecting payroll and employee benefits

 

Qualified candidates must have:

 

·       5+ years of experience processing payroll using ADP Workforce Now

·       Strong knowledge of wage and hour laws and employee benefits relating to payroll

·       Intermediate MS Excel skills and strong math skills

·       Outstanding analytical and critical thinking skills and the ability to analyze and interpret regulations and requirements concerning employment, wages, time off benefits, employee health and welfare benefits, tax, compensation, and reporting

·       Excellent written and verbal communication skills and a professional demeanor with the ability to communicate with diplomacy and tact

·       Strong attention to detail with the ability to consistently produce high quality accurate work

·       Ability to demonstrate discretion and maintain confidentiality

·       A strong work ethic and solid organizational and time management skills with the capability prioritize tasks and meet multiple deadlines

·       Self-motivated with the ability to work well independently

·       Bachelor’s Degree in Accounting, Finance or Business preferred or an Associate Degree in Accounting, Finance or Business with 2+ years of additional experience in Accounting or Finance preferred

·       Experience with multi-state payroll processing strongly preferred

·       CPP a plus

·       Previous experience working for a not-for-profit organization is a plus

·       Physical requirements of this position include the ability to use hands to finger or feel the computer keyboard, close vision, and the ability to adjust focus
