BRIEF SUMMARY OF JOB DUTIES

Under the general supervision of the Academic and Student Affairs Manager, the Financial Services Analyst plays a key role in the efficient
functioning of the Physics Department financial and academic affairs units. Analyzes, interprets and implements new and frequently
changing campus and federal policies and procedures and administers personnel payroll including all student and faculty titles as well as a
shared workload of other research-funded titles. In collaboration with the other payroll analyst, Financial Analyst co-develops templates to
facilitate gathering and use of information across the financial/ extramural/academic personnel units; reconciles financial ledgers. Manages
internal monthly tracking of recharge unit income/ expenditures for annual recharge reporting. Provides additional financial and payroll
backup support to the finance, extramural funds, academic affairs, and student affairs units as needed.

MINIMUM REQUIREMENTS

-Bachelor's degree in related area and/ or equivalent experience / training.
- Working knowledge of finance policies, practices, and systems.
- Ability to independently gather required information to organize and perform financial analysis assignments.
- Proficient in the use of spreadsheet and database software for financial analysis and reporting.
- Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.
- Strong interpersonal skills, excellent service orientation and critical thinking skills.
- Strong analytical skills.
- Demonstrated ability to use organizational skills to multi-task in a high volume environment.
- Keen attention to detail.
- Must be able to work under pressure of deadlines.

JOB FUNCTIONS/PERCENTAGE OF TIME/DUTIES

Employment Administration/Funding Analysis: 55%

Shares responsibility for preparation and analysis of monthly and bi-weekly payroll for over
600 academic, non-academic, contract, and student employees across over 130 fund
sources. Includes creating payroll rosters, UC Path entry, GUS entry/projections, and
Kronos time management. Independently initiates and manages all payroll activity for
specific titles including faculty and student GSR, TA, Teaching Associate, Reader, Tutor
and other academic titles. Interprets employment policy on assigned titles and in
consultation with Labor Relations. Advises faculty and other assigned academic titles on
benefits eligibility and enrollment. Manages summer salary projections, analysis and
funding. Monitors and assists in payroll account reconciliation of payroll distributions for
assigned titles.

In coordination with other payroll analyst, co-develops templates to facilitate gathering and
use of information across the financial/extramural/academic personnel units.
Coordinates all aspects of the hiring, payroll and timekeeping processes for academic
students, faculty and teaching titles as well as select research titles. Via UCPath's WFA
(workforce administration) portal, manages employees' lifecycle, coordinating, overseeing
and auditing all personnel payroll transactions for assigned titles. Manages timecard
administration for all academic student titles
Ensures policies, procedures and collective bargaining requirements are met.
Develops and maintains personnel databases for tracking all appointments. Works closely
with Graduate and Undergraduate Advisors to ensure shared spreadsheets documenting
student assignments (coordinated by advisors) and corresponding employment (coordinated
by financial services advisor) are collaborative and accurate.
Responsible for the recruitment of academic coordinator titles in the department.

Financial Administration: 25%

Utilizing GUS, is independently responsible for inputting, tracking, and monitoring salary
and benefit projections for all assigned academic, student and research titles. Using a
variety of tools including GUS, Data Warehouse, UC Path, Kronos, develops and provides
PIs and supervisors with personnel summary reports to meet individual needs.

Regularly tracks and analyzes income and expense data for recharge units in order to assist
with analysis and preparation of income and recharge updates and new proposals.

Gift Fund and Grant Administration: 10%

Responsible for shared administration of department gift funds. Includes creating, managing
and providing regular reports to Development and Dept. Chair and MSO. Tracks external
student fellowship funds in GUS and Excel and provides accurate reporting and makes
recommendations to the Graduate Admissions Committee.

Assists Contracts and Grants Unit with the preparation of select proposals as needed.

Analytical Support/ Spec. Projects/ Prof. Training: 10%

Under general supervision from the MSO or Academic Personnel Manager, assists with
special projects on behalf of the department. Maintains a close and effective working
relationship with departmental and campus units, facilitating collaborative efforts across
departments. Collaborates with other department analysts to develop and manage
onboarding procedures for new employees. Participates in the development and
implementation of a comprehensive onboarding program for new employees, which
includes proactively engaging department and UC sponsored human resource and onboarding
related learning.

Participates in professional training, particularly in financial administration, contract &
grant administration, and academic personnel teaching and research titles.
