Job Description:

Role


Responsible for day to day preparation, processing, maintenance and interfiling of Company information to be managed in retention systems.  Candidates with strong data entry capabilities will prepare, image, index and validate documents to meet record retention requirements.


Work Schedule: Monday - Friday 7:30am - 4:15pm.


Major Duties & Responsibilities


Prepare, image, index and validate documents for retention according to industry best practices and department operating guide.


Complete simple and precise research for clients in a timely manner. Retrieve and assemble confidential information to comply with client requests. 


Review closed account reports, update repository systems and pull documentation as required. Interfile physical documents as needed. Review branch office work-flows for accuracy, create exceptions as necessary. 


Maintain stringent standards of confidentiality.


Perform other duties as assigned.


Participate in proactive team efforts to achieve departmental and company goals.


Must comply with current applicable laws, regulations and bank policies and procedures. Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources. 


Requirements


Minimum one year of similar or related experience preferred.


Education/Certifications/Licenses


A high school diploma or equivalent.


Skills


Normal courtesy in dealing with others is required. Work involves minimal contacts, usually within the organization. Contact usually involving routine, non-sensitive issues within the department.


Physical Requirements


Must be able to stand, sit, bend or move to perform primarily sedentary work with limited physical exertion and constant lifting of up to 20 lbs. and occasional lifting of up to 50 lbs. Must be capable of climbing / descending stairs in emergency situation. Must be able to operate routine office equipment including telephone systems, photocopiers, facsimile, computer systems, 10-key and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be able to view computer terminals and image readers for differing lengths of time.


Working Conditions


 Regular in-office attendance required


Regularly called upon to work outdoors, possibly during periods of inclement weather

 Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.
