Senior HR Generalist at Vermont Systems in Essex Junction, Vermont

Job Description:

Vermont Systems (VS) provides software solutions to parks and recreation organizations throughout the United States; all U.S. Military Army, Navy, Marine, and Air Force bases around the world; and to a growing number of municipalities and universities in Canada. Currently, VS’s customer base includes small, medium, and large-scale municipal, county, military, and university users. Founded in 1985, Vermont Systems is nationally recognized as having one of the most complete application suites to cover all aspects of both parks and recreation operations. VS utilizes the Progress OpenEdge database, Progress backend development tools, and HTML5 and JavaScript for the user-interface.

We are seeking a Senior HR Generalist to be responsible for the hiring and retaining of our employees through recruiting processes and techniques, solving any employee relations issues and keeping HR operationally and legally sound and in support of scaling our organization. This position’s primary responsibilities are to support our business as it relates to HR Operations, Talent Acquisition & Talent Management.

HR Operations


  • Communicate and ensure adherence to our policies and procedures across the organization

  • Maintain personnel files and HRIS with up to date information within the legally mandated guidelines.

  • Review current processes and procedures and create more efficient ways of doing things as we scale.

  • General knowledge of company benefits offerings, benefit vendors and carriers in an effort to answer basic questions for our employee base.

  • Partner with payroll team to pay our associates accurately and on time.

  • Review and update general HR forms, documents, approval workflows as needed.

  • Manage labor law communications to employees electronically and in facilities.

  • Produce and submit reports on general HR activity (employee engagement, recruiting, demographics, diversity, etc…) as needed to senior leadership.

  • Manage the HR budget process in partnership with the President and Finance.

  • Manage yearly compliance reporting

  • Organize and implement employee engagement activities/oversee Employee Engagement Team

Talent Acquisition Responsibilities


  • Manage the full cycle recruitment and selection process across all teams within Vermont Systems.

  • Partner with hiring managers to fill current positions as well as understand business and source for any future hiring needs/gaps (pipeline).

  • Manage Applicant tracking system for data accuracy and record keeping

  • Create and document a hiring manager toolkit and interview training that includes job interview and candidate selections process based using sound behavioral, skill and competency-based evaluations

  • Manage company presence on Glassdoor, Facebook, LinkedIn, Twitter, Job Posting sites and other social media outlets to establish our employee brand culture and personality

  • Review, update and manage employee referral program

  • Create, document and formalized a standard onboarding training and welcome process so that all employees join in a consistent manner and understand set up of organization and where to self-service for things they need here at the company.

  • Perform Day 1 orientation for all new hires.

Talent Management


  • Support Leaders on any reorganizations, and ensure their changes meet our overall company structure and standards for long term scaling.

  • Review, investigate and provide guidance on employee relations issues

  • Execute our Quarterly Performance management cycle and coordinate employee development plans.

  • Supporting the development of an engagement team to build employee engagement.

  • Conducts Exit interviews and Stay interviews.

Facility Management


  • Maintain office and facility supply levels

  • Oversee property manager/facilities coordinator

    • Coordinate contracts and maintain COI’s

    • Assist in securing subcontractors for office maintenance

    • Act as contact for various vendors (heating/plumbing, security, etc.)

In addition to the duties above, other HR projects aligned to these and other HR focus might be assigned.

Skills/Experience/Competencies

Required


  • Minimum of a bachelor's degree or equivalent in Human Resources, Business, or Organization Development or equivalent. Master’s degree preferred.

  • 3-5+ years of progressive experience in Human Resources positions.

  • Excellent computer skills in a Microsoft Windows environment. Must include Excel and demonstrated skills in database management and record keeping.

  • Effective oral and written communication.

  • Excellent interpersonal and coaching skills.

  • Evidence of the practice of a high level of confidentiality.

  • Excellent organizational skills.

Preferred


  • General knowledge of employment law and practices

  • Experience in the administration of benefits and compensation programs and other Human Resource programs.

  • professional in Human Resources (PHR) or SHRM-CP certification preferred, not required

  • Experience with Ultimate Software (UKG/UltiPro)
