SUMMARY
The Operations Coordinator position supports the Defense Health Agency, Armed Forces Health Surveillance Branch (AFHSB) - Integrated Biosurveillance (IB) Section. The position requires providing superior operational support to a dynamic team of scientific professionals. Accordingly, a high degree of administrative expertise and responsiveness is required. Previous military experience is preferred as this person will need to interact with senior-level service-specific (Navy, Army, and Air Force) public health and medical leaders.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Responsible for ensuring all required administrative support tasks, including but not limited to:


  • Coordinating IB travel arrangements using the Defense Travel System (DTS), including routing and tracking approvals, preparing travel orders, scheduling transportation, hotels, and completing payment vouchers.

  • Scheduling visits, notifying organizations and officials to be visited, arranging for local transportation, and facilitating visitor request coordination.

  • Serving as the POC for weekly and ad hoc IB staff meetings. This includes scheduling, confirmation of presenters, preparation of agendas, meeting room/teleconference/web collaboration set up, advanced preparation of documents/meeting information for leadership, and meeting minute preparation.

  • Assisting IB staff in the production and submission of presentations, abstracts, and ad hoc reports, including routing through AFHSB, DHA, and OPSEC approval processes.

  • Preparing and editing memorandums, letters, documents, and spreadsheets as requested using appropriate formats.

  • Maintaining IB Section calendars.

  • Providing advice on workflow and operational procedures to increase efficiency, productivity, and overall improvements to the program.

  • Assisting with IB Section task management to include distribution of requests to appropriate team members, collating responses from team members, and provisioning of consolidated answers to Technical Lead for review.

EDUCATION AND EXPERIENCE


  • Bachelor's Degree or Certified Administrative Professional.
  • 6 - 10 years' experience in administrative management.
  • Previous military experience is preferred as this person will need to interact with senior-level service-specific (Navy, Army, and Air Force) public health and medical leaders.

KNOWLEDGE, SKILLS, AND ABILITIES
Microsoft Office Suite.
Defense Travel System.
Excellent analytic, writing, and verbal communication skills.
Strong sense of urgency, flexibility, and the ability to multitask.
Strong attention to detail.
Team player, respectful of others, with a high level of professional and personal integrity.
Must be able to pass a secret-level background investigation.
