The Secretary is responsible for supporting office, or departmental, objectives by performing routine clerical and administrative duties. The Secretary performs a variety of administrative functions for a Regional Vice President, CSO Manager or department manager in order to maximize that individual’s effective use of time.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Typing and transcribing office / department memos, correspondence, emails, forms, documents and reports as needed; applying knowledge of grammar, spelling and punctuation. Also provides mail processing and associated clerical support as needed.
Maintains office / department files and records for retrieval, maintenance and purging; to include the satellite Personnel Files for assigned office / department.
Answers questions or provides information, screens telephone calls, incoming communications and visitors, schedules appointments and reviews and distributes mail for the RVP, CSO Manager or department manager.
Completes the weekly data entry of employee exception time (CPTO, ASL, etc.) in the Time Sheet System (TSS), as directed by assigned management team within the office / department.
Maintains schedules and calendars for manager/department head, coordinating travel and hotel reservations.
Completes special projects and analysis as assigned and needed by manager/department head.
Provides administrative support to others within the office / department, or project teams/committees with which the manager/department head is associated.
Provides assistance in the budgeting process, and assist in the collection and compilation of information necessary to create/tabulate numerical data.
May have responsibilities associated with the Agency Licensing process (in Underwriting Offices); or the Company Complaint Register (in Claims Service Offices).
At the direction of the Regional Vice President, CSO Manager or department head, provides assistance in planning and organizing meetings and events for the office / department.
QUALIFICATIONS
Education/Credentials:
High School Diploma, or GED required.
Experience:
Minimum of 1-year secretarial experience, along with 2 – 3 years of business and administrative support experience required.
Good organizational and time management skills.
Good communication skills, both oral and written.
Good inter-personal skills, with the ability to maintain confidentiality and act with tact and integrity.
Good PC skills, with an emphasis on Microsoft Office products, to include basic knowledge of Word, Excel, Power Point, etc.
Must be able to type 45 words per minute with an 80% accuracy rate.
Awareness of company policy and procedures as they relate to assigned division/department, preferred.
Basic math skills.
Good problem-solving skills.

Must be able to operate a computer, keyboard, applicable printers and other general office equipment.
Must be able to access and enter information accurately, using automated systems.
Must be able to interpret and apply concepts based on established guidelines.
Primarily a sedentary position that requires occasional standing and walking throughout the office environment.
Must be able to maintain acceptable attendance and adhere to scheduled work hours.
