Position Title Office Coordinator Additional Information Salary Grade 9 New Hire Rate 14.45 FLSA Non-Exempt Hrs/Week 40 Pre-Employment Screening Requires successful completion of a background check. Position Function
Coordinate the administrative functions within the Office of Payroll and Employee Benefits; provide exemplary customer service in person, over the phone, and via email as the primary point of contact (front desk) for the department; supervise and direct work of student employees; acknowledgement and receipt of onboarding documentation; scan, index, and set up direct deposit and payroll tax forms; complete employment verifications. Minimum Education
Up to eighteen months of customer service, secretarial training, or education beyond high school or equivalent. Minimum Experience
Over one through three years of secretarial support, office administration, customer service or related experience. Minimum Other
Excellent communication skills; ability to work in a team environment; proficiency with Microsoft Office suite Authorization to work in the US Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship. Preferred Education
Associate's degree. Preferred Experience
Additional years of office management or customer service experience; supervisory experience; knowledge of payroll deductions, tax forms, and employment verifications;
experience with scanning documents and electronic workflows Preferred Other Position Title(s) Supervised

Duties & Responsibilities
Ranking 1 Job Duty
Coordinate administrative functions within the Office of Payroll and Employee Benefits; includes opening and distributing mail to appropriate team member, generating cash receipt deposits, ordering office supplies as needed, entering maintenance work orders, managing the department calendar and email account. Ranking 2 Job Duty
Provide administrative support for Directors and Managers; includes scheduling meetings, preparing correspondence, assisting with special projects, and providing overall support in communication and coordination of departmental activities. Ranking 3 Job Duty
Serve as the primary point of contact for the department, providing exemplary customer service to both the internal and external customers. Answer all incoming calls and greet all visitors to the office; determine their needs and direct them to the appropriate personnel; assist with payroll and benefit form completion; respond professionally to customer inquiries/issues received via the phone, email, or face-to-face. Ranking 4 Job Duty
Maintain current knowledge of PEB policies and procedures to ensure accurate and timely responses to customers. Use this knowledge to assist customers by answering their questions and resolving their issues. Ranking 5 Job Duty
Manage interdepartmental electronic workflows such as onboarding; acknowledge, download, scan and index direct deposit and payroll tax forms; enter them in the payroll system. Ranking 7 Job Duty
Assign and review work, orient and train student employees and make recommendations as to interviewing and selection. Ranking 7 Job Duty
Complete all employment verifications for current and past employees including students, graduate assistants, and non-student employees. Ranking 8 Job Duty
Review the PEB website for accuracy and make recommendations for changes or improvements as needed.
