The Office of Undergraduate Admissions generates, reviews, and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff FTE, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation.

The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees.

Position Summary

Involves technology-based analysis of business practices, processes and problems; developing solutions which may involve process design, data and information architecture, software development and policy or procedural changes; creating specifications for systems to meet requirements; validating requirements against needs; designing details of automated systems; developing user interface design; planning and executing unit integration and end-user acceptance testing; may develop training materials for system implementation. May lead cross-functional teams to solve complex business or systems issues.

Computing and Oracle Campus Solutions Specialist, under the general direction of the Information Technology and Systems Manager, is responsible for coordinating the overall delivery of Admissions functionality in the university s system of record, the Academic Information System (AIS), and serves as a liaison from the Office of Undergraduate Admissions to other academic and administrative departments.

The Computing and Oracle Campus Solutions Specialist assumes a leadership role in administrative reporting. The Computing and Oracle Campus Solutions Specialist will produce and maintain a variety of standard and non-standard query reports. This will include legal, regulatory, and UC leadership requests. AIS admissions functionality primarily supports the outreach and evaluations components of undergraduate admissions. The incubemt will also deliver data for certain aspects of advising, campus community, and student records.

The Computing and Oracle Campus Solutions Specialist analyzes UCSC Admissions Office needs, coordinates the development and multi-mode (web, other electronic, and printed) delivery of admissions-related information, facilitates documentation and testing, and creates training materials, including written documentation of manual and automatic processes, that meets the needs of end users accessing undergraduate admissions information in The Academic Information System (AIS). The AIS platform is delivered on Campus Solutions by Oracle.

The incumbent will be required to develop an in-depth knowledge of organizational policies and procedures in order to provide strict adherence to all legal and regulatory requirements.

The Computing and Oracle Campus Solutions Specialist is a member of the AIS team and serves as the lead analyst in the implementation, upgrade, and the production environments. In this role, the incumbent maintains knowledge of industry best practices and works collaboratively with campus entities and other AIS process managers to maximize the effectiveness of Undergraduate Admissions functionality within AIS.

Pay, Benefits, & Work Schedule

Salary Information: $66,300 - $78,000/Annually. Salary commensurate with skills, qualifications and experience.

Job Duties

25% - Gathers, analyzes, prepares and summarizes recommendations for approval of business process and procedural documentation. Recommends and implements changes in processes and procedures. Applies technical expertise and business analysis concepts to identify, evaluate and define complex scope and objectives of projects and processes within Admissions. Negotiates with department and university stakeholders on the creation of specifications, while assuring a complete, actionable document for business requirements.

25% - Provides technical expertise in identifying, evaluating and developing complex systems and procedures. Creates technical specifications for systems to meet end-user requirements. Involved in developing complex user interface designs. Plans and executes unit integration and acceptance testing. Participates in cross-functional teams to address complex business or systems issues. Delivers technical specifications with the input of stakeholders from the University and the Office of Admissions.

25% - Gathers, analyzes, prepares and summarizes recommendations to leaders within Admissions for approval of business process and procedural documentation. Recommends and implements changes in processes and procedures. Negotiates with stakeholders on the creation of specifications and the development of a delivery plan.

10% - In conjunction with the UA ITS manager, and with AIS committees and subcommittees, establishes review and quality assurance strategies, monitors compliance with Business Development and Finance Bulletin IS-3, reviews and analyzes current campus and system-wide policies and procedures recommending or initiating change as needed in functions related to AIS service areas. Assists in developing internal and external policies to carry out campus and system wide mandates.

10% - In collaboration with UA ITS Manager, and with representatives of other units (e.g. Registrars, Financial Aid, Student Business Services, Colleges, Divisions, Academic Departments), and with other AIS Process Managers: Coordinates the analysis, planning, and implementation of specified admissions requirements, with primary focuses on AIS security. Supports Undergraduate Admissions business requirements and processes and transforms those Admissions AIS requirements into programming specifications for use by AIS
