The Division of Undergraduate Education (UE) is a complex organization comprised of the UE divisional offices (immediate office, Academic Human Resources, and Planning and Resource Management), Campus Advising Coordination, Summer Session, Office of the Registrar, Colleges Academic (Colleges Nine and Colleges Ten, Cowell, Stevenson, Crown, Merrill, Kresge, Oakes, Porter, and Rachel Carson College), Enrollment Management (Undergraduate Admissions, Orientation Programs, and Financial Aid), and the Educational Partnership Center (EPC General, EAOP, K-12 Regional Alliances, Research & Evaluation, COSMOS, SIP, MESA, CAL-SOAP, CRLP, and GEAR-UP). The division is responsible for over 300 staff and student FTE, and over 1000 academic appointments, each one of whom helps students to be successful.
The Division of Student Affairs and Success comprises areas focusing on Evaluation and Research, Student Equity and Achievement, Student Health and Wellness, and Student Development and Engagement. Within these areas, specific departments with which the UE AHR team interact includes, but is not limited to: Student Success Evaluation and Research Center (SSERC), Educational Opportunity Program (EOP), Hispanic Service Institution Initiatives, Learning Support Services (LSS), and Counseling and Psychological Services (CAPS).
The Division of Global Engagement comprises areas focusing on International Scholar & Student Services, International Projects and Initiatives, and Study Abroad, with which the UE AHR team interacts.
Position Summary
Involves recommending, developing, implementing, administering, coordinating, and / or evaluating Academic Human Resources policies, labor contracts, statutes, programs, and procedures covering one or more of the following: academic recruitment, appointment, and advancement; compensation and salary administration; faculty welfare programs; visa procurement; benefits; payroll; training and development; faculty misconduct; and faculty equity.
Applies professional UC Academic HR concepts, organization and / or system wide policies, and procedures to provide guidance to supervisors and managers to resolve a variety of academic human resources issues of moderate scope and complexity.
Reporting to the senior Academic Human Resource Analyst, the Academic Human Resources Analyst is primarily responsible for academic personnel actions and payroll administration in the Undergraduate Education Academic Human Resources (UE AHR) Office within the Office of the Vice Provost and Dean of Undergraduate Education (VPDUE). This includes, but is not limited to employment actions for academic personnel in the areas of compensation, payroll processing, employee onboarding and exit interviews, work eligibility, and reporting. The Academic Human Resources Analyst also plays a key role in email management and employee relations. Responsibilities include demonstrating sensitivity to the needs of an increasingly diverse workforce; promoting and maintaining a climate conducive to productive work, hospitable to creativity and innovation and inclusive in regards to opportunity for professional success.

Job Duties
50% - Administers academic payroll transactions, including entry, review/approval, and funding entry for Summer Session academic employees in UCPath. Provides guidance as needed related to payroll/compensation matters, including UCPath review, appropriate use of academic titles, and so forth. Serves as a transaction approver in the university s payroll/personnel system (UCPath), and approves one-time and intercampus payments. Under guidance from manager, research and resolves payroll problems and discrepancies.
10% - Under guidance from manager counsels faculty and other academic staff concerning work-related problems, work-eligibility (visa) matters such as J-1 processing, and benefits considerations.
10% - Implements policies and programs in recruiting, instructional labor relations, wage and salary administration, and training.
10% - Conducts employee onboarding and exit interviews. Processes I-9 employment verification by gathering the necessary documentation, inputting identification information in UC Tracker I-9 system. Troubleshoots errors or inconsistencies to ensure timely compliance with I-9 regulations.
10% - Administers the division s academic employee time and attendance reporting by using the campus web-based enterprise time and attendance system (CruzPay) to collect, audit and reconcile time and attendance records. Analyzes, research and resolves discrepancies, providing guidance and consultation for departments.
5% - Provides academic HR Support, including serving as the backup for the Academic HR Analyst and Academic Personnel Manager.
5% - Responsible for email management.
Required Qualifications
* Bachelor's degree in related area and / or combination of equivalent experience / training.
* Basic knowledge of and ability to apply / interpret organization and college policies and procedures which govern academic HR.
* Knowledge of human resources management systems, other related business software programs and systems, Microsoft Word and Excel and/or Google Apps.
* Analytical skills to conduct analysis and develop recommendations to Chairs / unit management.
* Demonstrated organization, problem solving, and communication skills.
* Ability to work under pressure of deadlines, multiple responsibilities, and a high volume of work.
* Ability to work effectively as part of a team and individually.
* Ability to pay strict attention to detail.
Preferred Qualifications
* Knowledge of organization, college and departmental formal and informal policies and procedures and understanding of variances to stated policies.
* Knowledge of unit academic culture and educational goals of discipline(s) served.
Special Conditions
