Position Overview

The HR Administrative Clerk position is responsible for facilitating and administering generalist activities to further prepare the knowledge and skills needed to successfully work with the Human Resource, Safety, Finance, and Operations teams.  Work with the Human Resources Team across region to ensure accurate and efficient use of systems for all employees.

Key Responsibilities (Essential Duties and Functions)


  • Assists Human Resources Generalist/Manager/Director with salaried exempt and hourly hiring process, including screening of applications/resumes (as needed), inputting and reviewing employee records.

  • Coordination of drug screenings and conducting new hire orientations.  Ensures proper paperwork is completed and forwarded to appropriate personnel.  Maintains electronic database of human resources and safety forms.

  • Assists Human Resources Director with administrative responsibilities and special projects, including compilation of data, data analysis and report preparation/generation.

  • Responsible for preparation, analysis and distribution of reports as requested by management and division office.

  • Ensures new hire information, employee information updates, and annual increases for all employees are entered and processed accurately to meet Company timelines. Audit as necessary.

  • Assists Director, Human Resources Team with required training, including preparation, review and distribution.

  • Maintains quality temporary staff through the use of external vendors for corporate positions.

  • Processes corporate employee terminations, including entry, calculations and routing of appropriate paperwork.

  • Assist with maintaining DOT Driver information in our Kelmar System as needed.

  • Coordinate and document all claims and reports relating to specific state workforce development and unemployment offices.

  • Helps with new hire process, setting up new employees on computer training, etc.

  • Maintains adequate supply of human resources and safety materials, including employee handbook, applications, files, new hire safety equipment, etc. 

  • Assists with revision and development of employee handbook as needed.

  • Coordinates and plans, in conjunction with local Human Resources department, employee functions/activities for employees.

  • Coordinate and maintain accurate PTO records through electronic system.


  • Maintains professional demeanor in dealing with critical/highly confidential information; restrict discussion/ knowledge of activity to a “need to know” basis.

  • Regular and predictable attendance at assigned times is required.

  • Other duties as may be assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience


  • High school graduate supplemented by appropriate college level coursework required.  Bachelor’s degree in Human Resources, Business Administration or related discipline preferred.

  • Prior experience in human resources preferred. Experience with recruitment and HR administration strongly preferred.

  • Experience in a construction environment preferred.

  • Bi-Lingual is highly preferred.

  • Valid state driver’s license and satisfactory driving record is required.

Work Requirements


  • Must be 18 years in age or older.

  • Must pass pre-employment physical, drug screen and criminal background check.

  • Strict adherence to safety requirements and procedures as outlined in the Employee and Safety Handbooks.

  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.

  • Must be willing to travel and work away from home when required.

  • Must be willing to work nights and weekends when necessary.

Knowledge/Skill Requirements


  • Knowledge of human resources policies and procedures.

  • Highly effective oral and written communication skills required.

  • Ability to operate office equipment including, but not limited to: computers, copiers, ten key adding machine, printers, etc.

  • Proficiency of MS Excel and Word applications required.

  • Ability to analyze issues independently.

  • Ability to perform under deadline pressure.

  • Ability to understand and follow complex verbal and written instructions.

  • Ability to meet attendance schedule with dependability and consistency.

  • Able to stand, walk, use hands and fingers to manipulate objects, talk and hear.

  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.

  • Frequently required to sit, and use hands.

  • Frequently required to stand and walk for extended periods of time.

Work Environment


  • Standard office environment.

  • Tempo is fast-paced with deadlines.

  • The noise level in some areas of the work environment may be moderate.
