Receptionist / Facilities Support

The receptionist / facilities support person is responsible for answering the telephones, greeting customers and clients, and updating our internal facilities tracking software. They also manages general office environment by ordering supplies and performing various administrative support duties.

Essential duties and responsibilities:

(May include but are not limited to:)


  • Answer telephone, direct, screen calls, take and relay messages.

  • Provide information to callers, greet persons entering organization and direct individuals to correct destination.

  • Ensure knowledge of personnel whereabouts and maintain exact and complete sign-out / sign-in procedures for consumers and on-site staff.

  • Ensure proper security procedures are followed which include access badges and parking validations.

  • Handle queries or requests from our internal and external customers.

  • Provide general clerical and administrative support to all levels of professionals.

  • Prepare letters and documents, receive and sort out mail, e-mail and deliveries.

  • Ensure that common areas in office premises are equipped with required office supplies as appropriate.

  • Monitor the use of equipment and supplies within the office and coordinate the maintenance and repair of office equipment.

  • Assign Service Desk tickets and ensure tickets are completed in a timely manner.

  • Move items (i.e. furniture, water bottles and boxes.)

  • Back up to facilities assistant and facilities specialist.

  • Assist with employee parking decals / badges / photo IDs.

  • Perform other duties as needed by the manager.

Minimum Experience:


  • Minimum 1 year related administrative or reception experience.

Education / Licensure:


  • High school diploma required.

Other:


  • Excellent written and verbal communication skills.

  • Excellent customer relation and organizational skills

  • Excellent understanding of office practices and procedures.

  • Intermediate knowledge of Microsoft Office suite of products including Excel and PowerPoint.

  • Excellent typing and keyboard skills.

  • Thrives in fast-paced, start-up environment.

Skills and Abilities

Language Skills:


  • Able to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.

  • Able to write routine reports and correspondence.

  • Able to speak effectively before groups of customers or employees of the organization.

Mathematical Skills:


  • Able to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s.

  • Able to perform these operations using units of American money and weight measurement, volume, and distance.

Reasoning Skills:


  • Able to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

  • Able to deal with problems involving a few concrete variables in standardized situations.

Computer Skills:


  • Basic skills required.

Other Skills and Abilities:


  • Solid organizational skills.

  • Able to reason and carry out instructions.

  • Good interpersonal skills.

  • Able to type minimum 40 words per minute (WPM)

  • Read, write, and speak English fluently.

  • Speak Spanish fluently

  • File systematically.

  • Self-motivation.

  • Strong customer services skills.

  • Must have own transportation with valid insurance
