Sooner Suites - Assistant Manager at University of Oklahoma in Norman, Oklahoma

Job Description:

Serves as lead supervisor for designated employees while organizing and

coordinating functions following established standards. Position is specifically responsible for clerical, organizational, and real-estate functions related to the support of Sooner Suites, extended stay Kraettli Apartments, select summer buildings at OU Traditions Square, and between 15-50 residential rental properties.


Duties include but are not limited to -


  • Answering questions, providing information and handling complaints regarding vacancies, services, and amenities of guest accommodations on campus.

  • Reviewing and processing billing from contractors and vendors. Will also complete purchasing and inventory functions for Sooner Suites properties.

  • Establishing and maintaining filing systems including confidential documents.

  • Preparing staff schedules and tracking time worked for housekeepers, reservationists, and facilities teams. Assist in hiring, training, mentoring and helping improve employees, student and full-time. 

  • Assuming day-to-day responsibility for organizing and coordinating administrative/clerical duties of Sooner Suites, to include accurate upkeep and implementation of reservation software system. Will be responsible for working the Sooner Suites service desk. 

  • Serve in an on-call capacity in support of residents in OU properties in a duty-phone rotation.

  • Provide professional and accurate tours of available properties.

Required Education: High School Diploma or GED or equivalent combination of education/job related experience, AND:


  • 18-36 months experience in real estate/property management, office manager or related.

     


Skills:



  • Good written and personal communication and organizational skills; 



  • Ability to perform basic math functions including fractions and percentages;



  • Excellent computer skills, to include Microsoft word and excel. 



  • Detail oriented for accuracy of data and information



  • Strong initiative to solve problems



  • General office skills, to include multi-line phone systems, filing, faxing and mail processing.



  • Strong customer service mindset with a passion for positive interactions and productive resolutions and solutions.


Certifications:



  • Valid Drivers License, to visit rental properties and overnight accommodations on and surrounding OU Norman Campus. 


Advertised Physical Requirements: Exposure to pressure caused by deadlines and busy periods; requires minimum travel; requires contact with other departments and university officials. May be required to engage in repetitive motions and communicate. Must be able to maneuver about the various facilities safely and efficiently.  Requires travel to various venues. 

 

Department Preferences:


  • 2 + years of hospitality/reservationist software experience

  • 2+ years of office management experience to include billing, service tickets, inventory/ordering.

  • 1 year in rental property office management or as a professional real estate agent, to include serving in an on-call capacity.

Supervision: Will supervise 3-5 Facilities Attendants (housekeepers) and 1 Staff Assistant. Will report to the Sooner Suites Manager.
