Job Summary

POSITION SUMMARY
Responsible for coordination of care for the patient experience from the time the appointment is made to check out. The clinic coordinator is a staff member that can work primarily within the clinic supporting the physician as a coordinator of surgery or coordinator directly in the clinic. This staff member can support the physicians as needed in clinic, and is able to complete all areas of the front desk and surgery scheduling. High volumes of clinical judgment is required and the ability to work directly with the physician on a daily basis.

JOB RESPONSIBILITIES

PEOPLE - 30%
1.Coordinates the patient flow by escorting patients to exam rooms, collecting information from patient on nature of visit, preparing patient for physician visit.
2. Answer telephones and route calls as needed to assist in patient care and coordinating services. Utilizes courteous and professional telephone techniques and interpersonal skills to establish and maintain rapport with patients, physicians/office personnel and various hospital personnel, while maintaining patient confidentiality. Appropriately utilizes cisco telephone system.

3. Following proper policy and procedures within the clinic and set forth by the physician to ensure the clinical and surgery experience is one of Methodist Standards.
4. Works directly with multiple disciplines to coordinate care for the patient before and after surgery as an integral team member.

FINANCE 20%
1. This position will be utilizing a computerized scheduling system and multiple software applications to complete the registration process for surgeries to include software management that supports eligibility and verification.
2. Responsible for coordinating, scheduling, and registering patients for primarily, but not limited to: both inpatient and outpatient surgical procedures, diagnostic testing/labs, and general office visits throughout the Methodist Hospital and outside entities which support the physicians.
3. Reconciles surgical responsibilities by preparing preliminary and final schedules for each physician as assigned. Uses established departmental auditing procedures to process orders and registrations under departmental policies and procedures.
4. Assists with obtaining authorizations and referrals as needed to ensure financial indicators are met prior to rendering services.
5. Demonstrates mastery of enterprise and practice scheduling process and software, and of supporting registration process and software. Schedules and registers multiple services with multiple departments utilizing computerized scheduling and registration systems, works with physicians to utilize requirements and addresses physician/patient requests or needs. Obtains required data in order to support hospital clinical/financial needs.
6. Works directly with revenue cycle team to ensure proper documentation is received for billing and ensures policies and procedures are maintained to meet internal controls for auditing

QUALITY/SAFETY - 10%
1. Follows all safety rules while on the job. Reports accidents promptly and corrects minor safety hazards.
2. Completes all required and job-related in-services and applies the information as needed
3. Utilizes courteous and professional telephone techniques and interpersonal skills to establish and maintain rapport with patients, physicians/office personnel and various hospital personnel, while maintaining patient confidentiality. Appropriately utilizes cisco telephone system.
4. Provides service in a manner that is maintaining the ICARE values and provides quality service while dealing with patients, staff, physicians, and vendors.

SERVICE 30%
1. Schedule tests, appointments, surgery and other ancillary scheduling for patients
2. The employee will have interactions with all levels of staff, management, physicians, patients and families, multidisciplinary teams, insurance carriers, and outside agencies.
3. The employee will use independent judgment and clinical knowledge to adjust schedules and accommodate special requests from internal and external customers, while providing complete coordination prior to surgery
4. Maintains ICARE values and confidentiality while communicating with patients for appointment requirements such as diagnostics, medical records and authorizations, and while providing service to the patient within the clinical setting

GROWTH/INNOVATION -10%
1.Assume back up duties for medical assistant or surgery schedule

This position description is not intended to be all inclusive, and the employee will also perform other reasonably related business duties as assigned by the immediate supervisor and other management as required. EDUCATION REQUIREMENTS
High School Diploma or G.E.D.; preferred satisfactory completion and clinical licensure such as MA, LVN program. Clinical knowledge and experience preferred with a strong understanding of medical terminology.

EXPERIENCE REQUIREMENTS
Five years of direct surgery scheduling experience is preferred. If working within the clinic the applicant should have 5+ years of experience and should be able to apply and remove casts and splints applicable to the orthopedic practice. Experience at the physician/practice level preferred over system level. 5+ years of clinical experience. Healthcare Experience Required. Experience with front desk responsibilities are required to include check in and check out. Clinical experience preferred.

Physicians office to include clinical and administrative environment. Must have own transportation as travel to satellites clinics may be required to support the physician and his.her practice.
