Position Summary:
The Administrative Assistant is responsible for performing administrative functions for the Quality Team, Medical Staff services and CMO. Managing the Quality Office for the Hospital's CMO consistent with the administrative policies, guidelines, and procedures of West Hills Hospital and Medical Center. The Administrative Assistant must project a positive and professional attitude and image and act with confidence and a high level of confidentiality. He or She must be able to work in a fast paced environment, prioritizations skills are a must. Performs routine to complex administrative duties; performs secretarial/clerical duties supporting the Quality Team, Medical Staff Services and CMO; and performs other related duties as assigned. Ability to work independently with minimal supervision.
QUALIFICATIONS POSITION REQUIREMENTS:
EDUCATION:
Associates or Bachelors degree preferred
EXPERIENCE:
A minimum of 2 years experience as an Administrative Assistant or as a Secretary preferred.
Hospital and corporate system experience preferred.
KNOWLEDGE/SKILLS/ABILITIES:
* Provides administrative support to include assigned project work and assembling background material, reports, and data for scheduled meetings and conferences. Maintains daily and monthly filing system for follow-up on tasks and deadlines as assigned by the CMO & Quality Team to personnel.

Takes messages for the Quality Team, CMO and Medical Staff office and disseminate information.
*
Prepares notices for meetings, assists in preparation of meeting agendas and backup material for meetings, as well as compilation of minutes from those meetings; serves as recording secretary as assigned. Follows up on all meetings attended by the CMO & Quality to assist in initiation or completion of assignments or projects resulting from meetings.

Maintain department records in accordance with the standards set for Administration. Data entry, telephone communication, filing, processing of mail, in an efficient and effective manner. Maintains administrative office supply inventory and necessary records.

Composes letters and memos (signs when appropriate) after clearing any technical or policy content with the CMO; Sorts mail for routing but also organizes mail so that priority is assigned and correspondence is given proper attention.

Serves as liaison between CMO, Physicians, Quality Team and the public.

Assists in special projects of major importance to Quality, CMO & Medical Staff Office.

Performs other duties as assigned by CMO.

Must abide by the HCA Code of Conduct and the West Hills Hospital and Medical Center Standards of Behavior.
* Advanced skills in communication and employee relations, organization of work, editing and grammar.
* Ability to anticipate needs of executive organization and take independent action.
* Knowledge of: business letter writing; modern office methods, equipment, and administrative procedures; proficient in Microsoft Office software including: Word, Excel, PowerPoint, and Outlook; Internet research.
* Ability to: Independently compose correspondence and reports; take and transcribe copious minutes; type 55 words per minute; spell and use correct English; proofread documents for accuracy and completeness; plan and coordinate events; plan and organize multiple work projects involving considerable detail; use independent judgment in completing complex secretarial/clerical tasks under general instructions; exercise discretion in handling confidential mattress; and establish and maintain effective working relationships with others.
* Personal Characteristics include: Strong attention to accuracy and detail; exceptional organization skills; understanding of the importance of follow-through; able to work in a fast paced environment while maintaining composure; posses a sense of humor; able to work effectively with the CMO, Quality Team and Medical Staff office.
