Job Title:  Plant Engineering Administrative Assistant

Department:  Plant Engineering

Days:  Mon - Fri                                               Hours per Week:  25

Commitment to Position:  1 year                    Hours:  8:00am - 1:30pm

Job Freeze:  No

Work Location:  Worldport

Manager:  Brian Ward                                      Supervisor:  Tom Theiss

Work Environment:  Work in the World Port Plant Engineering office.

Job Summary:  Office administrator to work in the Plant Engineering office. Must be able to handle all responsibilities involved in daily office administration.

Job Description:  • Filing of contracts, memos, and all related documents • Prepare new contracts and administer contracts • Track and order supplies • Process invoices and track payment status • Handle office related mail, shipping and receiving • Create labels, documents and binders as needed • Aggregate, analyze and organize data to produce reports as needed • Audit, update and maintain department training records • Audit and reconcile department staffing reports and work with HR to input corrections as needed • Prepare trainee training packets

Required Skills:  • Basic computer literacy and proficiency in Microsoft Office Products (Expert in MS Excel preferred) • Typing skills (45+ wpm) • ORACLE and I-Procurement

Additional Skills:  • “Self Starting” - Able to work with little direction • Must be well organized and manage time effectively • Must be task/goal oriented

Interpersonal Skills:  • Strong oral and written communication skills • Able to interact and communicate effectively with a diverse work group • Able to work and communicate effectively with all levels of management
