Job Description
The Administrative Manager is responsible for managing, training, and overseeing all employees working in Administrative Services functions within the service area. These functions include: Accounts Receivable (Credit & Collections, Customer Set-Up), Order Management, and Scheduling. The Administrative Manager is also responsible for general Human Resources (HR) Management and implementing HR policies and procedures, and will perform transactional duties related to one or multiple administrative functions (Accounts Receivable, Order Management, Scheduling) during the normal course of business in parallel to carrying out management, training, and oversight duties.

ESSENTIAL FUNCTIONS


  • Supervisory or Management Responsibility - Directs employees within functional area of responsibilities. Oversees hiring, compensation, compliance, and HR issues for all assigned site locations within the Service Area. Communicates job expectations, provides annual performance evaluations, individual development plans, and coaches site administrative employees. Liaison with corporate office for company-wide programs and initiatives. Supervise and gives direction to a team of administrative service professionals. Oversees the following service departments: Order Management, Accounts Receivable, Scheduling, and General Administration.

  • Budget Assistance - Assist Regional Manager in planning, monitoring and managing budget in functional area of department. Work with Regional Manager to implement both regional and service area priorities and deliver on budgets and targets.

  • Transactional Responsibility - Perform transactional duties related to one or multiple administrative functions (Accounts Receivable, Order Management, Scheduling) during the normal course of business in parallel to carrying out management, training, and oversight duties. Will also be expected to support department activities in a back-up capacity when employees are out of the office to ensure necessary work is accomplished at the highest level of service to our customers, both internal and external.

  • Independence of Action - Manages priorities, policies and allocates resources.
    Ensure company policies and procedures adhered to across all functions (e.g. Operations, HR, Health & Safety, Procurement). Provide timely reporting on site performance against key metrics to manage by exception. Align with company strategy related to goals, priorities and targets by function. Ensure safety requirements are met. Support continuous improvement efforts that derive from company strategy

  • Any other duty, task or responsibility as assigned.

REQUIREMENTS


  • Minimum Degree: Bachelor's Degree.

  • Course of study: Business Management or related field preferred.

  • Special Certification or Licensing: Ability to obtain applicable certifications/licenses as required.

  • Must have a valid Driver's License and clear MVR (Motor Vehicle Report).

  • Clear Post-Offer Drug Screen.

EXPERIENCE


  • Minimum experience: 4+ years' experience in administrative management.

  • Required Industry Experience: Construction, Insulation, Trades, etc.

  • Legal Age Requirements: At least 18 years of age

  • Must have experience in managing administrative strategy, safety programs, and customer satisfaction.

  • Prior P&L responsibility preferred but not required.

  • Must be an excellent communicator and highly organized.

REQUIRED SKILLS


  • Excellent analytical and problem solving skills.

  • Strong attention to detail, demonstrated integrity and professionalism.

  • Excellent communication skills, both written and verbal.

  • Ability to perform complex mathematical calculations.

  • Ability to perform "what if" analysis.

  • Ability to interpret financial trends to include variances and business financial metrics.

  • Proficient in Office Software like word processing, spreadsheets and presentation software.

  • Knowledgeable of ERP applications (preferably Oracle).

  • Requires self-management and project management ability.
