Position Summary/Career Interest

A System Specialist provides round the clock support, by facilitating the distribution of product, supplies and equipment, by responding to real-time, urgent or STAT requests and delivering product between facilities. Associates collects, disseminates and follow-up on supply chain information for all health system organizations. Provides solutions to client requests by providing superb delivery of service. Resolves customer concerns by determining the cause, selecting the best solution, expediting the correction, and following up to ensure resolution. Additionally, responsible for unloading and sorting inbound shipments; resolves inventory issues or escalates to leadership for resolution. Works with requesters on determining product requirements based on customer needs; stages product for delivery, delivers materials; additionally, deploys response carts; may create orders by requisition in enterprise resource system. Operates delivery vehicles, IAW federal, state and local laws when delivering product within the health system, must maintain required licenses and medical clearances.

Responsibilities

Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.
- Adheres to departmental policies and procedures, objectives, quality assurance and technical function.
- Interacts within the department and throughout the hospital system to aid in fulfilling material needs for end users.
- Prepares product and equipment for delivery by identifying destination, packing, loading, and securing product.
- Unloads inbound shipments and stages materials per protocol, validating shipping quantity at the item level and resolves identified issues
- Electronically receives items into the inventory management system per departmental protocol
- Delivers supply and materials to designated nursing department per end user or department leadership request using established chain of custody protocols.
- Serves as the point of contact for customer issue/inquiry resolution.
- Provides effective coaching and feedback to team members that you are training.
- Practices industry standard inventory control practices (i.e. FIFO, two-bin replenishment, etc).
- Supports rounding on nursing departments and in-patient rooms when necessary by providing replenishment support for expensed supply to requesting departments, adhering to clinical protocol for isolation and infection control.
- Deploys, builds and manages specialty response carts as needed (i.e. Code blue carts, disaster response carts, surge supply carts, other carts/supply kits).
- Deploys durable medical equipment (DME) upon real-time demand by clinician order.
- Takes an active role in maintaining inventory concerns by following system protocols and communicating issues to departmental leadership.
- Provides direct support to assigned singular department with leadership oversight.
- Accountable for mitigation of problems/issues between distribution & logistics and our internal and external customers to departmental leadership.
- Responsible for requisition and acquisition of products and supplies based on customer need and according to established departmental inventory management protocols
- Adheres to established policies regarding attendance and punctuality.
- Applies and adheres to LEAN principles according to health system methodology.
- Responds to emergency response call according to policy.
- Serves as a backup for other department roles as directed by departmental leadership.
- Actively seeks opportunities to continuously improve service level and relationships with our customers.
- Contributes to team effort by accomplishing related results as needed.

Qualifications

Required:
-
HS Diploma/GED required
-
Experience with Outlook, Word and Excel
-
CDL within 6 months of hire-date.
-
High level of attention to detail, Time management, Sense of urgency, and High responsiveness to customer needs
-
Must be able to read and understand Materials Safety Data Sheets
-
Must be able to communicate in oral and written form to all levels of staff
-
Must be capable of performing Essential Functions
-
Must have a valid driver's license /CDL with no recent violations
-
Must complete & pass DOT Physical as required by law
Preferred:
-
Associate Degree preferred
-
Prefer minimum of two years' experience working in a supply chain environment
-
Health care background preferred
-
Prefer process improvement or inventory control experience
