The Business Support Specialist will assist with administrative functions to ensure continued operations are successful with meeting the mission's requirements. The position will provide support with purchasing/bankcard, travel arranger, and general office services which support more than 75 scientists and management staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Business Support Specialist will perform administrative functions to ensure continued operation to meet mission requirements as follows:

1. Task Objectives and Purpose

  • Travel functions
  • Assist with domestic travel authorization / voucher preparation, and forms routing. Including use of applicable Federal Government travel rules, regulations, and software;
  • Office logistics and meetings
  • Coordinate for Center Administrative staff office logistics, meetings, and receptionist duties;
  • Time and Attendance
  • Assists Center timekeepers with bi-weekly time and attendance documentation, forms, reports and approval routing and filing;
  • Special account documentation
  • Assist Center Administrative staff with special account filing, reporting, all aspects of documentation.
  • Credit card review and adjustment
  • Use specific computer software for credit card adjustment, budget management, reconciling credit card statements, maintaining credit card purchasing logs; coordinate statement routing for approval and review.
  • Invoices Review and Payment
  • The Contractor shall receive and process invoices monthly for payment from non-referencing vendors. The guidelines and polices outlined in The DOI USGS Survey Manual shall be followed. The contractor shall ensure all invoice documentation is complete, clear, up to date and accurate
  • General Administrative Support
  • Performs a variety of routine administrative support actions. Is readily available to assist co-workers and managers to administrative-related tasks. Interacts Center employees in a courteous and professional manner. Operates office equipment and completes general office work.

  • Schedule and Deliverables

    Monthly summaries describing and quantifying work accomplishments delivered to CNSS Program Manager with copies to Client Task Order Manager and COTR.

    SUPERVISORY/MANAGEMENT AUTHORITY

    No supervisory duties.

    Will report to CNSS Program Manager and may coordinate daily work with CNSS Site Lead/Program Manager and interact with client representative (Task Order Manager).

    EDUCATION and/or EXPERIENCE

  • High School Diploma, plus some college-level course work is sufficient.
  • Previous job experience must include administrative, financial, accounting, or budget analysis focus
  • Good typing skills;
  • Familiar with PC computer-based systems and electronic mail programs;
  • Good working knowledge of Microsoft Office Suite;
  • Able to use Internet Explorer or other similar web browsers;
  • Able to work as part of a group with changing priorities and deadlines
  • Good communication and inter-personal skills
  • Applicable training on GOV systems and software will be provided
  • Three or more years of experience with USGS policies, procedures, systems and programs preferred
  • KNOWLEDGE, SKILLS AND ABILITIES


    • The ability to work autonomously and within a team setting is required
    • Excellent customer service, problem solving, and communication skills; both oral and written
    • Must have a valid driver's license
    • Must successfully pass a drug screen and federal background check

    WORK ENVIRONMENT


    • This position is primarily performed in a federal office environment, teleworking may be allowed.
